Tutorial: How to create a double opt-in confirmation email

If you have created an opt-in check-box in the entry form of your promotion, you have the possibility to send an automatic email with a confirmation link that the user has to click to confirm the double opt-in.

Follow the instructions below to configure this option:

 

Configure the confirmation email

1. Access the promotion management page and click on "Editor."

2. Go to Pages > Entry form > Form fields and follow these steps:

  • Click on 'New field' and select 'Opt-in field'. If you already have this field enabled, you can move on to the next step.

  • Configure the properties of this field: 
    • Label: Write a text explaining what kind of permission the user is giving when accepting this check-box.
    • Short title: Text to identify this field in entries list.
    • Mandatory: Check this option if you want it to be mandatory to accept this check-box by users.
    • Checked by default: Enable this option if you want to show the opt-in checked by default.
    • Double confirmation via email: Enable this option for users to confirm via email that they have checked this box. You can customize this email.Create_confirmation_email_double_optin_3.jpg
  • Click on “Edit email”:

3. This option will automatically generate an email preconfigured to request that the user confirms that he has checked the opt-in check-box in the entry form. The settings of this confirmation email will open in a new browser tab.

Here we explain the different options that you can customize:

  • Type of email: This option is preconfigured and cannot be changed because the email has been created specifically to be sent as soon as the user signs up.
  • From name: Enter the company or brand name, or the name of the promotion.
  • Subject: Finish customizing the email title that users will see in their email inbox.
  • Body: Finish configuring the confirmation message. The default message already comes with the smart tag to generate the double opt-in confirmation link.
  • Attach documents if you need to.

4. Click on the "Update" button to save the changes.

 

Test the confirmation email

Once the email is saved you will access the list of emails, where you can send you a test email to check how the message will be presented to the participants. To do this, click on the "Send a test" button:

The email is activated by default, but you can deactivate it by clicking on the switch button if you wish. If you want to modify the email, click on the pencil icon to access the configuration again.

What information does the administrator obtain about participants that have confirmed the email and what actions can be carried out with this information?


When a participant receives the email and clicks on the link included on it to confirm that they have checked the opt-in box, the administrator will be able to know it by checking the "Participants" section, where they can filter participants according to the confirmation status of the opt-in box by participants. Specifically, for the opt-in box it will be possible to filter according to these 3 states:

  • Not checked: It indicates that the user has not checked the opt-in box in the entry form at the time of participating.
  • Confirmed: It indicates that the user has checked the opt-in box in the entry form at the time of participating.
  • Checked, pending confirmation: It indicates that the user has checked the opt-in box in the entry form at the time of participating, but has not confirmed the email that that has received asking him to double-confirm the opt-in.

In this way, once the promotion is finished you can perform different actions by applying the confirmation status filter of the participants of the promotion. Here are some ideas for actions you can apply:


Export to Excel / CSV the participants who confirmed the email

  1. In the list of filters, locate the filter corresponding to the opt-in check-box (in the example, the check-box had the short name "Newsletter").
  2. Apply the condition “Confirmed”.
  3. In the list of actions, apply the "Export entries" action.

Carry out a sweepstakes among the participants who confirmed the email

  1. In the list of filters, locate the filter corresponding to the opt-in check-box (in the example, the check-box had the short name "Newsletter").
  2. Apply the condition “Confirmed”.
  3. In the list of actions, apply the "Run random draw" action.
