Organize a Multimedia Contest to receive audiovisual content generated by your users, and create galleries with this content, so that it can be shared, viewed, or voted on.
Currently, this application supports the following type of multimedia content: photos, videos, YouTube videos, texts only, external links, and PDFs. This application allows you to run advanced photo and video contests, and project contests.
Note: The Multimedia Contest is only available for clients that have activated a White Label plan in their account.

1. General presentation
With the "Multimedia Contest" application, you can create a contest to obtain audiovisual content generated by the participants. The audiovisual content supported is the following:
- Images: PNG, GIF, JPG
- Videos: .MOV, .MP4, .AVI, .MPEG, .WMV, WebM, 3GPP, .FLV
- Youtube videos
- PDF documents.
- External links
- Text alone
- Audios: .MP3 (Coming soon)
The application allows you to create galleries associated with this multimedia content, so that participants can see the content uploaded by others, and can vote for their favorite(s).
This application works compulsorily with the Login system. This means that participants will necessarily need to identify themselves and register for the contest, in order to participate.
Users can participate in 2 different ways: uploading multimedia content or voting for some content. Therefore, in the Multimedia Contest application, the administrator will be able to create two different types of Participation Stages:
- “Submit Multimedia Content” stage: This stage allows the organizer of the promotion to create and configure a screen for participants to upload their multimedia content. The organizer will be able to define the formats and the amount of content that can be uploaded, the frequency of participation, the opening and closing dates of the stage, extra fields, etc. Check section 5.1 "How to configure the content Upload stage" for more details.
- "Multimedia Gallery / Voting" stage: This stage allows the organizer to create a gallery linked to the multimedia content uploaded in an "Upload multimedia content" type of stage. In this stage, the organizer will be able to select what content is shown in the gallery, define the visibility of the gallery (public or only users registered to the contest), and if the voting system is enabled, configure the voting frequency, system of access requirements to the stage, etc. Check section 5.2 "How to configure the stage of the Multimedia Gallery type." for more details.
Multiple stages of these two types can be created for a promotion. This feature will allow you to create contests with advanced settings such as:
- Contests by category: Each category will have its "Submit content" stage and a corresponding "Content gallery" stage.
- Contests with different rounds: Multiple "Content gallery" stages will be generated, linked to the same "Submit Content" stage. For each gallery, the content to be voted on will be selected, for example, the most voted of the previous round.
- Competitions with a jury: A "Multimedia Gallery" stage can be generated for the jury. A requirement will be created for this stage, that only those who have the jury password can access and vote. See our guide for contests using the Jury mode.
2. Differences from the Photo and Video Contest applications
If you hesitate to use the Photo Contest application, Video Contest, or this Multimedia Contest application, please read this section. If you already know for sure that you want to use this application, please continue to section 3.
What are the main differences between the Photo Contest or Video Contest application with the Multimedia Contest application?
Generally speaking, everything that can be done in the Photo or Video Contest application can be done with the Multimedia Contest application, but not the other way around. The Multimedia Contest includes more advanced options.
Following are the options that you have access to with the Multimedia Contest application that are not available in the Photo or Video Contest applications:
- Upload multiple photos or videos in the same participation: In the same entry, the participant can upload up to 5 pieces of content and can combine photos, videos, text, PDFs, external links, and/or audio (coming soon). The system will create an album that will display all the uploaded content.
- Separate the photo or video upload screen from the registration system: The application has a specific screen for the content uploading stage, optimized for the content selection and loading experience: drag & drop, thumbnail display, progress bars, etc.
- Preview of the content uploaded before posting: The participants will be able to preview their content on the Uploading screen and will be able to make changes before confirming and finally submitting it to the contest.
- Present multiple galleries with a single participant record: you will be able to publish several galleries in the same contest, with content from the same uploading stage. This functionality is ideal for contests with different categories or with several rounds.
- User voting frequency control: You can set the user's voting frequency, for example, indicating that users can cast a vote a day.
- Advanced vote scoring system: You can create different levels of voting so that voters rank their favorite entries, for example: 1 point to the first voted photo, 3 to the second, and 5 to the third.
- Advanced voting per rounds system: You can create different voting rounds, with control by the dates of each round and keep a history of the closed phases. In addition, you will be able to create new rounds automatically from the results of previous phases.
- Voters will go through the Login + Registration process: In this way, the organizer can take advantage of all Easypromos Login methods (Facebook, Google, Twitch, LinkedIn, Email), and customize the registration form with legal consent.
- Direct prizes can be configured to be given away to voting users: Users who enter to vote are considered as participating users, and therefore can be assigned direct prizes and the process automated. For example: give a unique discount code when a user votes, and have it sent to them by email.
- Customize automatic emails to users after they voted: You can use the email platform for voting users. Thank all voters for their participation or send them a prize automatically.
- Jury mode: If the winners are assigned by jury, you can create contest galleries with a special voting system for the judges. Only those who have the jury password will be able to access the gallery and vote. See the jury mode tutorial.
- Define a requirement to upload photos or vote: Participation requirements can be defined both to uploading content and viewing or voting on it. A requirement can be: to see a video before voting, to insert a password to view the photo gallery, or to validate a purchase receipt before participating.
- Create contests for companies, intranets, and private groups: It is the ideal solution to create contests where the video or photo gallery is only accessible to private environments such as employees of a company or an association.
- Create contests integrated into mobile applications: Clients with a Corporate license can also use the Autologin API to create photo or video contests with participation limited to a closed environment, such as users of an application, registered members of your website (...)
- Integrate photo contests in Multi-Game applications: You will be able to combine “Submit multimedia content” or “Multimedia Gallery” stages with other types of participation stages such as games, prize wheel, etc ...
3. Multimedia Contest Settings
Here we explain all the steps to create your Multimedia Contest:
1. Access the Easypromos Control Panel and log in with your email and password to manage and create your promotions:
2. Create a new promotion using the "Create new promotion" button:
3. Among all available products, select the "Multimedia Contest" application:
4. Configure then the following options:
- Organizing brand. You will need to create an organizing brand for your promotion (or use an existing one if this is not the first promotion you create on Easypromos). This organizing brand is independent from any social network and works like a folder within your Easypromos account to help you organize the promotions you create.
- Template version. Select which template you want to use to create your promotion. This application is only available in the White Label version.
5. By clicking on "Continue", you will access the promotion management page, where you have all the options to set up and customize the promotion. Check out the most relevant sections and modules:
1. Header. You will find the title of the promotion, the version, and other relevant information such as the ID number of the promotion, which identifies each promotion (provide this number to the Easypromos support team if you have any issue or doubt about the promotion, so they can easily review the configuration). You will also find the Status of the promotion, which indicates the status of your promotion: draft, active, or expired.
2. Promotion link. You will find the direct URL that you will use to share the promotion with your audience. You will also find here the Copy link button, which will allow you to copy the promotion link automatically to carry out the different dissemination actions, as well as the Link options for you to review.
3. 'Activate promotion' button. When the promotion is all set and ready to launch, click this button to activate it. This button will take you to the activation page, where you can review the billing information to proceed to pay for the plan.
4. Enable Test mode. This tool will allow you to carry out real tests of the promotion before activating it and review the user experience. Enter here for more information.
5. Side menu. Here you will find all the configuration options for the promotion.
6. View tutorial. You will find here the tutorial that will guide you step by step in the creation and management of your promotion.
7. Here you will find the following configuration information:
- Dates and timezone of the promotion when it will be live.
- Languages: Indicates the default language of the promotion and allows you to change it if you need it.
- Location: You will be able to limit participation to one or more countries from the editor. See more information here.

4. Participant registration system (Login + Registration)
Users may participate in the Multimedia Contest by uploading their content or may also participate by voting for their favorite images or videos in the contest gallery. Both to upload content and to vote, users will need to identify themselves with one of the Login methods that can be enabled: Facebook, Linkedin, Google, Twitch account, or with an email.
To configure which Login system you want to enable in the promotion, enter the Editor > Pages > Login and click the button to enable the Login system.
You can then configure how you want users to identify themselves to participate in the promotion. Check out here the different types of Login and the configuration options.
Note: The selected Login system will be the same for users who will participate by uploading multimedia content and users who will be voting on the content shown in the Gallery of the contest.
In addition, if it is the first time that the user participates, it will be necessary to complete the registration form, which must be filled in with the data configured by the administrator.
To customize the fields of the registration form, access the Editor > Pages > Registration form, and click on the "Add element" button to add the fields and information that you need from users:
Note: The registration form will be the same for users who want to participate by uploading multimedia content and for users who want to participate by voting for the content of the contest.

5. Participation system
Participation in a Multimedia Contest works with the Easypromos participation stages system. In this way, users will be able to participate in the contest by uploading photos and/or videos, as well as voting for entries in the public gallery of the contest. Each of these participation dynamics corresponds to a different stage which we explain below:
This participation stage will allow users to participate in the contest by uploading their own photos, videos, YouTube videos, external links, text alone or PDF documents.
To enable this participation stage, access the Editor > Pages > Participation and click on the "New stage" button. The two types of stages that can be added will appear. Select the stage of the type "Submit multimedia content".
You can also enter the “Submit your participation” stage pre-configured:
Once you have selected or created the stage, access its management panel.
You will find the following customization tabs:
1. “Options” tab: Here you will find the different stage configuration options:
- Stage name: This is the name that will be displayed on the stage distribution screen.
- Stage description: Optionally, you can describe what this participation stage consists of, which will also appear on the stage distribution screen. You can share instructions to participate here. For instance, let participants know the type of multimedia content that they will be able to upload -photos or videos or both.
- Dates: You can program the start and end dates of participation in the stage. The date of each stage will determine when each stage will be open, as well as the order in which each stage will appear on the stage distribution screen.
- Stage image: Upload here the image that will identify the submission stage from the other stages on the landing.
- Frequency of participation: Configure the number of times that users will be able to participate in this stage as well as the frequency of participation, which can be:
- Per hour
2. “Requirements” tab: Optionally, before the stage participation screen, the promotion may present Requirements as a complement to the user's participation, which are additional actions that users must carry out on a mandatory basis before being able to participate. The available Requirements are: validate a code, upload a purchase receipt, watch a video, or condition participation to having completed another stage. Learn more about the requirements here.
3. “Submit multimedia content” tab: Enter here to configure and customize the stage participation screen. The configuration of this tab is divided into two steps:
- Step 1. Multimedia Content. In this tab, you will find all the configuration options for the participation mechanic and the content that users will upload. The configuration options are as follow:
- Enable image file upload: Enable this option if you want to allow users to upload photos.
- Enable video file upload: Enable this option if you want to allow users to upload videos
- Enable PDF file upload: Enable this option if you want to allow users to upload their PDF files to participate.
- Enable video URL from YouTube: Enable this option if you want to allow users to upload the URL of a video posted on YouTube.
- Allow text-only content: Enable this option if you want to allow users to type in or paste their own text. Recommendation: Use this field to ask users for texts of a maximum of 3,000 characters (about 500 words). For longer texts it is recommended to use the field to upload PDF files.
- Allow content based on external links: Enable this option if you want to allow users to upload a URL from an external link.
- Maximum weight: Configure the maximum weight of media files that you allow (minimum 1MB and max: 500MB).
- Min./max. number of media: This option allows you to define the minimum and the maximum number of media files that you allow each user to upload in their participation (max. 5 per participation).
- 'Upload your files' label: This option allows you to change the title of the field where the user will click to select and upload their media file.
- Media caption mandatory: Enable this option if you want users to add a text or comment with their files.
- Enable pre-moderation: This option allows you not to show the entries in the public gallery of the contest until the administrator validates them and authorizes them to be published.
- Step 2. Additional information. In this section you can configure the following options:
- Enable cover: You can allow users to create a cover with a title and description for their participation. It is recommended in case users can upload more than one photo or video to participate.
- Extra fields: You will also be able to request additional fields that the users will need to fill in to participate. These fields will be private and only available to administrators and will never be shown to other users. This way you can get more information from the participant uploading content to the contest.
- “Content” tab. Finally, in this section you can customize the contents and elements of the user participation page, where you can configure the following options:
- Upload media: This option allows you to add a header image.
- Introduction message: Customize the message that appears at the top of the page. Take advantage of it to remind users of the type of media content to upload and the requirements to be met.
- Label for “Continue” button: This option allows you to modify the text of the Continue button that allows the user to confirm and send their participation.
Once these steps are completed, you are all set with the configuration of the participation stage where users can upload their photos or videos to the contest!
For the photos and/or videos uploaded by the participants to be shown publicly, you will need to create and configure a stage of the "Multimedia Gallery / Votes" type.
To do so, go back to the Editor > Pages > Participation section and click on the "New stage" button. Here select the stage of the type "Multimedia Gallery / Votes" - or use the template that was pre-configured:
Once you have selected the stage you want to add to the promotion, you will access the stage management panel. Click on the pencil icon to configure the stage you just added:
1. “Options” tab: Here you will find all the configuration options for the stage:
- Stage name: This is the name that will be displayed on the stage distribution page.
- Stage description: There, you can describe what this participation stage consists of, which will also appear on the stage landing page. Describe this stage of participation, indicating the number of photos and/or videos that users will be able to vote for, as well as the frequency of the vote.
- Dates: This allows you to schedule the start and end date of participation in this stage. The date of each stage will determine when each stage will be open, as well as the order in which each stage will appear on the stage distribution page.
- Stage image: help your users identify the stage on the landing page.
- Frequency of participation: You will be able to determine how often users will be able to vote in the contest. By default, the number of times the user can vote will be 1, but you can define the frequency:
- Daily (1 vote per day).
- Per hour (1 vote per hour).
- Weekly (1 vote per week).
- Total (1 vote in total).
2. “Requirements” tab: Optionally, before being able to access the voting screen within the gallery, you may add an extra step with an additional requirement, that is, additional action that users will carry out on a mandatory basis before being able to vote in the contest. The available requirements are: validate a code, upload a purchase receipt, watch a video or condition the participation in another stage. Learn more about Requirements here.
3. "Multimedia Gallery / Voting" tab: From this tab, you can select the multimedia content that you want to show in the gallery, and configure other gallery options, such as the voting system:
The first time you access this tab, the following screen will appear that requests you to select the content you want to show in the gallery:
Two alternatives are available:
- A) Show all multimedia entries from one stage: You will need to select which is the source stage. The stage of origin can only be a stage of the "Submit Content" type.
- Important: If the stage is still open, the new content that participants upload will automatically be added to the gallery.
- B) Show only a subset of multimedia entries from a stage: You will need to select the stage of origin, then select which content from that stage you want to share in the gallery.
- Important: To be able to select a subset, the stage of origin must be already closed.
- You will be able to select stages of the "Submit content" type but also stages of the “Gallery / Voting” type.
- Advanced: Once the gallery has been created from a source stage, the system gives you the option to add new content to the stage. This new selection allows you to select content from another stage. Therefore, you can create galleries made up of content coming from multiple source stages.
Once the gallery is created, you will see the following configuration options:
- Upload media: This option allows you to upload a header image for the Gallery page.
- Introduction message: This option allows you to customize the message that appears at the top of the Gallery. Take advantage of it to remind users of the number of photos and/or videos that they can vote for as well as the frequency of voting.
- Do you want to show the name in the participation? This option allows you to customize the name of the entry through a new text field that will be requested when uploading the entry, so that it can be configured that the name of the entry that will be displayed in the gallery corresponds to the value of this text field.
- Order of entries in the gallery: This option allows you to control the order in which the entries appear in the media gallery. Specifically, you can choose between the following ordering options:
- From newest to oldest (default).
- From oldest to newest.
- Alphabetically by participant name (A-Z).
- Alphabetically by participant name (Z-A).
Do you want to enable votes?
For more competitiveness and fun in your contest, you can enable the voting system, so that users, in addition to seeing the images of the participants, can also vote for their favorites.
To do so, check the box "Enable voting system":
Once votes are enabled, the following configuration options will appear:
1. Jury mode: Enable this mode if you wish to create an internal gallery reserved for your judges. Check out more about the jury mode here.
2. Do not allow users to vote for themselves: Users will only be allowed to vote for entries submitted by other users.
3. Show the ranking of the most voted: When activating this option, the number of points obtained by each participant will be displayed.
With this option, additionally, a new page will be created, accessible from the Gallery by clicking on “View ranking”, which allows you to see a classification of the points obtained by the participants in the contest. You can customize the number of entries that will be shown in the ranking with the next option: "Number of entries in ranking".
Note: If the option to "Show the ranking of the most voted” is not activated, the Gallery will only show the images of the participants but the points that each entry/album received will not be displayed, and the number of points will only be visible internally to the organizer of the contest.
3. Voting type: This option allows you to configure how you want the voting system to work in your contest. You can choose between two different ways:
- Simple votes (1 vote = 1 point): In this type of voting, for each image voted, the system will assign 1 point to the participant. Additionally, you can set the minimum and the maximum number of images to vote (minimum 1, maximum 10).
- Advanced votes(1 vote = X points): In this type of voting, for each image voted, the number of points will vary. To do this, configure the different levels of points, and define the score that the user can give for each level. Example: You can create three levels of points, with the following scores for each level:
- Level 1: 1 point.
- Level 2: 5 points.
- Level 3: 10 points.
In this way, having created 3 voting levels, it means that the user will be able to vote up to 3 images, and will be able to decide which images to assign 1, 5, and 10 points respectively:
6. Gallery visibility: how to enable/disable gallery access to unregistered users
The contest administrator will be able to control the access and visibility of the contest photo/video gallery at any time.
By default, the contest galleries are visible and accessible for all users who access the contest, also for users who have not yet registered. Indeed, users who have not yet identified themselves to participate in the contest will be able to access the contest galleries from the main menu of the promotion:
Even so, by clicking on one of the galleries, unregistered users will only be able to see and share the images shown there. In case they try to participate in the contest by voting for one of the images, the system will request them to identify themselves and register:
The administrator may however also decide to limit access to the galleries of the contest to only registered users so that only users who have already identified themselves can see the photos, share them, and vote for their favorites. To do this, access the Editor > Pages > Public Galleries section and click on the "Unpublish page" button to hide the Galleries:
7. How to manage content uploaded by users
As administrator of the contest, you will be able to see at all times the content that users uploaded to the contest from the internal management page of the promotion. To review it, access the "Users" section, and enter the "Multimedia" tool:
This tool will allow you to manage the contest entries. Specifically, from here you can:
1. View users' photo / video albums.
2. Accept / Reject participants.
3. Edit the content uploaded by the user. Specifically, by clicking on the pencil icon, you will be able to:
- Change the content uploaded by the user (change texts, photos, files, videos, etc...).
- Delete the content uploaded by the user.
- Add new content to the user's participation (pdfs, photos, videos, etc...).
4. Add an internal comment to an album.
5. Delete participants.
8. How to manage the votes in the contest
From the "Users" section of the promotion, you will be able to see at all times how the voting of the contest is going.
Specifically, once you have entered the "Users" section, click on "Votes" and then select the stage corresponding to the gallery where the voting took place:
There you will see the list of entries in the gallery, and for each photo/video, you will have the information of the total number of points received by being voted and can sort by "Points" in order to see the users with the most votes. In addition, by clicking on "View", you will see the detail of votes and can review the names of the users who have voted for that participation:
In this section, you will also find the following two options:
- Export all votes: This option allows you to download a list with all the votes cast, including the details of the users and who they voted for.
- Export results: This option allows you to download a list with the final result of the voting, where a classification of the participants is presented, ordered according to the score (votes) obtained.
9. Advanced settings and frequent cases:
- How to create a voting gallery by selecting specific images uploaded by users
- How to create a contest with multiple voting phases

Once the participation stage (uploading of multimedia content) has closed, you have the possibility to create a voting stage by selecting which photos of the stage you want to show in the gallery and, therefore, which photos can be voted on.
To do this, follow the steps shown in the following video:
The Easypromos stag system in a Multimedia Contest, allows you to organize more complex voting dynamics, such as organizing voting stages or rounds.
Example: The contest can be organized as follows: winners will be chosen after an elimination round so that only the 3 most voted entries will get to the final round. To do this, create two multimedia galleries in order to present the contest in two voting phases:
- Create a first Gallery, where all the multimedia content uploaded by the participants will be showcased, and voting will be open for all photos and/or videos uploaded.
- Create a second Gallery, where we will only show the 3 most voted entries from the previous Gallery. Thus, we will open a second voting phase with the most voted participations from the first round.
The second “Multimedia Gallery / Voting” stage will be created once the voting is closed in the first gallery and the system will allow us to select the 3 most voted entries to be shown in the second gallery:
The Easypromos stages system allows you to organize more elaborate and complex contest dynamics, such as creating a contest that includes different categories or themes.
Example: For participants to freely choose how they want to express themselves, the contest is presented with 4 different categories (nature and landscape, beaches, gastronomy, and culture).
How will the 4 categories be configured in the contest?
1. Each category will constitute a different stage. You will therefore need to create 4 stages of the “Submit Multimedia Content” type, one for each category. In this way, when accessing the contest, the users will be able to decide in which category they prefer to participate.
2. For the entries of each category to be shown in their own galleries, create 4 “Multimedia Gallery / Voting” stages, one per category, and link each gallery with its “Submit Contest” stage:
This way you can have 4 galleries, one for each category and votes can be managed in parallel.
With the Multimedia Contest application, administrators have the possibility to organize an internal vote so that a panel of professionals or any pre-selected jury can vote on the photos or videos uploaded by users in the contest gallery. In this way, only the members of the jury will be able to access the gallery, which will not be visible to the rest of the users, in order to vote there.
With the Multimedia Contest, you will be able to control the number of times that users can participate in the contest. In this way, through the Login system, the administrator will have the possibility to configure the number of votes that each user will be able to cast in the contest and with what frequency.
Example: You can let users vote 3 times per day. In this way, the first time they vote, users will log in and fill out the registration form, and from the second time they access the contest, each time they enter to vote, they will only enter with their email or social account and be able to cast their 3 daily votes.
To set this up, access the "Options" section of the Multimedia Gallery stage where the voting will take place, and at the bottom of the screen you will find the following configuration options:
- How many times can a user participate? Here you can indicate the number of votes that each user can cast throughout the contest.
- How often? Indicate here how often you want users to be able to cast their votes: in total, every hour, or every day.
To be able to control the content uploaded by users before it is shared publicly in the contest gallery, the administrator has the possibility to enable pre-moderation. In this way, the photos and videos that users upload will remain as pending until the administrator manually validates them: only then will the entries be shown in the gallery. The admin will also be able to exclude or eliminate entries if deemed necessary.
To enable pre-moderation, access the “Upload multimedia content" stage where users will participate, and in the "Submit multimedia content" tab, check the following box:
From here, in the "Users" section, the administrator will be able to see the images that users are uploading under "Multimedia":
There the administrator will have the "Reject" and "Accept" buttons and can moderate the content that will be visible in the gallery:
From the Multimedia content manager, in the Users section, you have the option to download a file with the list of all the direct URLs to the content uploaded by users. Use an online service to upload the URL file and download the content.
You can download the file with the list of URLs from your Users section as follow:
The downloaded file will have a format similar to the one shown here:
From this list, you can use applications to load the list of these URLs and download it to your computer. Two examples of free apps are:
- TabSave: Chrome extension for mass download management. You have the option to Copy/paste URLs.
- Free Download Manager: URL download management desktop application.
10. Customize the design and finish the configuration of the contest
Once you have set up the Multimedia Contest, the next step is to complete the configuration of the other options in the promotion, such as customizing the design of the whole promotion with your own colors and texts, adding your Terms & Conditions, customizing your viral content, etc. See here our tutorial to help you finish the configuration and fine-tune the visuals of your promotions.
11. Manage and publish the winners
Easypromos provides a complete Prize and Winner Management system that will allow you to create the prize or prizes you want to give to the users participating in the contest, as well as configure how you want to assign the prizes and select the winners.
Specifically, for the Multimedia Contest you have several possibilities to assign the prize(s) and pick your winners:
- Randomly: You will be able to perform one or more random draws among all participants or a subset of participants and obtain a certificate of validity with the result of the draws. Follow the steps of this tutorial to complete the draw.
- Manually: You can assign one or more prizes manually to contest participants. For example, you can assign the prizes to participants who have scored the most points. Follow the steps in this tutorial to assign the prize manually.
