In this scenario, Easypromos provides a set of tools for businesses, physical stores, and establishments to securely and reliably manage exclusive online promotions for their customers after making a purchase at a physical point of sale.
The key is that the customer can only participate in the promotion (whether it's a Prize wheel, Scratch & Win, or a game) after making a purchase, so the main challenge is to limit the promotion to only be available to users who have made a purchase.
To achieve this, Easypromos provides the "Dynamic QR code scanning system", which allows physical points of sale to register their customers' purchases securely, reliably, and without fraud.
How does it work? After completing the transaction in the store, the vendor will show the customer a QR code, which the user must scan with their mobile phone. By doing so, they will access the online promotion, whether it's a Prize Wheel, a game, or a giveaway, where they can win prizes and gifts. To prevent fraud, the QR code is automatically regenerated after each scan, ensuring that the QR codes are unique and cannot be shared by users.

1. How the Dynamic QR Code Scanning System Works
The dynamic QR code scanning system is a feature of Easypromos that allows businesses, establishments, and physical stores to effectively, securely, and fraud-free organize and manage exclusive promotions with customers who visit the point of sale and make a purchase.
How does it work?
- The customer has made a purchase at a physical store. The store currently has an active promotion, which involves being able to participate in an online promotion (for example, a digital prize wheel) simply by making a purchase.
- After making a purchase, the vendor will show the customer a QR code via a standard mobile device, such as a tablet or smartphone. The customer will scan the QR code from their smartphone, and upon doing so, the system will record the purchase and then take them to the online promotion, where they can register and participate.
- To prevent fraud, the QR code is automatically regenerated after each scan, ensuring that the QR codes are unique and cannot be shared by users.
- The dynamic QR code is an integrated utility within the Vendor Portal, a mobile-optimized web page that has various tools for sellers in a point of sale, shop, or store. It is accessed through a URL, and each point of sale must be identified with its own password.
2. How to Enable the Dynamic QR Code Scanning System
The dynamic QR code scanning system works with Easypromos Participation Requirements, so in order to participate in the promotion, the user must complete a prerequisite, in this case, scanning a QR code.
Below are the steps to enable the QR code scanning requirement.
1. Go to the Editor section Pages Participation. Click on the promotion stage:
2. Next, click on the "Requirements" tab:
3. Next, you will need to configure the following options:
- 1. Select the participation requirement "Scan a QR code".
- 2. Configure the requirement to apply to each participation.
- 3. As the QR type, select the option "Dynamic QR code".
- 4. Create the points of sale, i.e., the physical stores or establishments that will have access to the Vendor Portal in order to display the QR code to customers.
3. Vendor Experience
For the management of promotions exclusive to customers who have made a purchase at the point of sale, Easypromos provides establishments, stores, and vendors with the "Vendor Portal," the tool that vendors must access to obtain the QR code that they must show to the customer after making a purchase.
The Vendor Portal has the format of a web page, so it is accessible from any mobile device through a URL and has been optimized for use on any device with an internet connection, so it does not require the installation of any app.
How does the Vendor Portal work for QR code scanning?
- After the customer makes a purchase at the physical point of sale, the vendor must access the Vendor Portal through the Portal URL.
- Each Vendor Portal can provide access to different points of sale, which would be the stores or businesses that are participating in the campaign, and each point of sale has its own access password to the Portal for added security and control.
- Upon opening the Portal URL, the point of sale must authenticate with its access password, and upon doing so, the system will display on-screen the two integrated tools within the Vendor Portal:
- Promotions with QR codes, a tool to organize online promotions for customers after they have made a purchase, which is the focus of this tutorial.
- Prize redemption, a tool to verify the prizes that users have won by participating in an online promotion and that are redeemable physically at the point of sale. More information here about the Prize Redemption system.
- In this case, the vendor must select the "Promotions with QR codes" option, and the system will display the promotions currently active for that point of sale, so if there are multiple active promotions simultaneously, the vendor must select the appropriate one.
- Upon clicking on the active promotion, the system generates a QR code, which the vendor must show to the customer using a tablet or mobile phone. The customer will have 1 minute to scan the QR code.
- The system dynamically regenerates the QR code after each scan, for added security and to prevent fraud, as this prevents the user from sharing it with another person who has not made a purchase.

4. Email Communications with Users
You can use the Email Platform to:

Send a notification to the administrator when a user participates
1. Send an Email upon Winning a Prize
A good practice is to send an email to each user with information about the prize they have won. This way, users will always have all the information about their prize at hand, as well as the option to redeem it, making it easily retrievable on the day they want to go to the point of sale to collect their prize.
To create this email, you have the Email Platform, a tool that allows you to automate the sending of emails to users who participate in the promotion.
Follow these steps:
1. Go to the "Emails and notifications" section:
2. Create a new email of the type "Upon participation":
3. Create the email with the following characteristics:
- In the "Conditions" section, select the filter "Has won a prize" so that this email is sent only to users who have won a prize.
- In the body of the email, insert the smart tag "Prize Information." This will dynamically add all the information related to the prize that each user has won.
2. Send a Notification to the Administrator when a User Participates
Additionally, you can also send an internal notification to the promotion administrator every time a user participates in the promotion.
Follow these steps:
1. Click on the "Administrator notifications" tab and click the "Create a notification" button:
2. Create a notification of the type "Upon participation":
3. In the body of the email, you can use smart tags so that the notification includes all the user's information, as well as the prize they have won, if applicable.
5. QR Scan Statistics
Once the promotion is finished, you can check the statistics of the QR scans performed and see in which points of sale they have been carried out. You can check this data from two different points:
1. From the Promotion Statistics section, where you will find the "QR Scans" section, which allows you to consult detailed statistical information about the QR codes scanned by point of sale. The information you can obtain includes:
- Number of scans per day.
- Number of scans per day of the week.
- Number of scans per hour of the day.
- Total number of scans per point of sale.
2. From the User List, where you have the "Requirements" tool, which will allow you to see in which point of sale each participant has scanned the QR code. Additionally, you can export this information to an Excel/CSV file.
