1. Features of the Corporate account
The Easypromos Corporate account works like the standard control panel with the difference that the Corporate account has the Multi-user feature included which lets you manage the agents with access to the account and their roles.
The admin can access the Corporate account through the log-in link: https://admin.easypromosapp.com
When logging in, the admin of the Corporate account will access the Easypromos control panel where all features of the control panel are available: create promotions and giveaways, manage campaigns, etc.
Furthermore, the Corporate account presents a number of unique features that we explain here:
- The Corporate account is organized through Campaigns, Organizing Brands and Agents:
- Campaigns are the promotions, giveaways, and contests created in the account. Corporate accounts can create promotions with full features.
- Organizing Brands are promotion folders or groups. They organize the campaigns in the control panel of the Corporate account.
- Agents are the users that have access to the Corporate account and can manage the campaigns.
- The Corporate account includes by default 3 agents (1 administrator + 2 standard agents). It's possible to contract additional agents, also once the contract has started.
- The administrator agent of the account can:
- Add and delete other agents.
- Create new Organizing Brands in the account.
- Assign agents to Organizing Brands and allocate permissions.
- See and access all the promotions from the organizing brands.
- Access the global set-up of the account and the corresponding plan.
- Convert promotions to templates so agents can use them to create campaigns.
- The standard agents can:
- See and access the campaigns of the Organizing Brand they were assigned by the administrator.
- The access level depends on the role assigned by the administrator. There are 4 different roles: manager, editor, designer, analyst.
2. How to create a Corporate account
To create a Corporate account, you should contact your sales representative who will help you in the process of creating and configuring your Corporate account to adapt it to your company and organization. To do so, please send an email to corporate@easypromosapp.com and we'll get back to you as soon as possible.
The sales representative will give you access as an admin to start configuring your Corporate account.
Note: A Corporate account can only be contracted as an annual plan. The minimum commitment period is 12 months.
3. Admin control panel
When logging in, the admin agent can see the following sections:
1. "Account configuration" menu
In this menu, you can click on "my profile" to edit the data of your personal account: First name, Last name, Access E-mail, newsletter subscription, etc.
From this menu, you can also log out of the account.
2. "Corporate Account" menu
In this section, the admin agent will find all the settings for the Corporate account:
Here we explain all the available options:
- Company information: Here you can edit the information about the company and the billing information.
- View invoices: From here you can download the invoices from the account.
- Manage agents: Here you can manage and create new agents in the Corporate account.
- Organizing brands: Here you can create the organizing brands that allow you to organize the campaigns in the control panel.
- My templates: In this section the account administrator will be able to see and manage the different templates that he has created.
- Tags: The tags add a second level of classifying the campaigns created in the account.
3. "Settings" menu
Here, the admin agent can find tools and resources to manage the promotions and giveaways:

Here the agent can see and manage all the promotions from all the organizing brands in the account, which means that the admin can see the promotions that were created by other account agents:
4. Manage organizing brands
The organizing brands are folders or groups of campaigns that allow you to organize and classify the campaigns in the control panel. Furthermore, the organizing brands are also used in the system to grant permission to the agents in the account.
To create your organizing brands, click on the corresponding item in the menu:
Next, click on the green "Create new organizing brand" button:
Now, a pop-up will open where you can write the name of the Organizing Brand you wish to create:
You can create as many Organizing Brands as you need. All promotions should be linked to an Organizing Brand when created, and you can filter and classify the promotions in the control panel by them.
5. Manage agents and assign roles
Once you have created the Organizing Brands, the next step is to add the agents that should be able to manage the promotions and giveaways that are carried out for the brands.
There are two different types of agents:
1. "Administrator" agent: An administrator agent of the Corporate account can carry out the following actions:
- Manage the agents of the account: create and delete administator and standard agents.
- Manage the Organizing Brands of the account: create and delete
- Assign Organizing Brands to the standard agents and define the access level for each Organizing Brand: manager, editor, designer, analyst.
- See and access all the promotions from all the Organizing Brands.
- Access the global set-up of the account and the corresponding plan.
- Access the account’s activity and audit logs.
- Notifications from the account.
2. "Standard" agent: A Standard agent of the Corporate account has the following characteristics:
- See and access the campaigns of the Organizing Brand they were assigned by the administrator.
- The access level to the promotions can be:
- Manager: can create, edit and activate promotions and giveaways and can see participants and stats.
- Editor: can create and edit promotions and see participants and stats (Can't activate).
- Basic Editor: he can only create promotions from templates created by an administrator (Can't activate).
- Designer: can create and edit promotions (Can't activate, nor see participants or stats).
- Analyst: can see participants and stats of the promotions (can't create, edit nor activate).
- Pre-moderator: can only access the pre-moderation tool for purchase receipts, with the aim of reviewing and moderating the photos of the receipts uploaded by users in the promotion. This option can be useful in case of outsourcing the management of purchase receipts to an agency or external company specialized in this type of service.
In the following comparative table you can compare the functions of each of the roles that a standard agent can have:
To add agents to your Corporate account, you should access the "Settings" menu and then click on the "Team and agents" section:
Here you will see the names of the users you add as agents in the Corporate account. Click on the green "Add new agent" button to add agents:
A pop-up window will open where you should fill in the fields to add the new agent:
- First name and Last name.
- Email. This is the email that the agent will use to access the Corporate account.
- Make administrator. Check this option if the agent you're adding should be an administrator agent.
- Organizing brands. Select the Organizing brand that you want this agent to be able to manage. This determines which campaigns the agent will have access to.
- Role. Here you define the access level that this agent should have to the campaigns of the Organizing brand.
Once you've filled out the fields and sent the form, the user will receive the invitation in their email where they should click to accept becoming an agent in the Corporate account.
The system allows assigning more Organizing Brands to the same agent and for each brand, you can define the role that you wish to assign to them:
In the section 'Manage Agents', you will see a list of all the agents, if their invitation is pending, and if accepted, you can see the details of the assigned Organizing Brands and roles:
Here you can also make changes regarding the agents' information, assign them new Organizing Brands, change roles, or even delete an agent from the account if necessary.
Note: By default, the Corporate account includes 2 standard agents but you can add more agents if you need. To do so, you should contact your sales representative through email to corporate@easypromosapp.com and we will help you in the process of creating new agents.
6. Create and manage promotion templates
The account administrator has the functionality called "My templates", which allows to create a promotion and convert it into a template available only for the agents of the account. This way, the agents can create a promotion easily in just a few minutes with the characteristics and the setup of the basis template defined by the administrator, for example, the design, the texts, and the terms and conditions.
In this way, the Administrator of the account can create a basis template and work on different aspects of it, for example the design, the texts, the terms and conditions, etc. and make it available to the team of agents so they can use it to activate new campaigns.
Futhermore, the Administrator can control which agents should have access to the template through the "organizing brand" that is assigned to the template. This means, that only the agents that have permissions to the organizing brand of the template in cuestion can access and use it.

7. Audit Logs
The Administrator has access to the records of all the activity in the account, including all actions and changes made by the agents of the account with information about each agent, timestamp and action that was carried out.
To see these records, go to the "Settings" menu and then click on the "Audit logs" section:

Note: Logs agents are stored 2 years maximum.
8. Agent control panel
When accessing the account, the standard agents can see the following sections:
1. "Account configuration" menu

When clicking on "Create new promotion", the agents can select which Organizing Brand the promotion should be created under. In this list, they can only see the Organizing Brands they were assigned by the Administrator:
9. Frequently Asked Questions
- Does a user that I want to add as an agent need to have an Easypromos account created already?
No, it's not necessary to have an Easypromos account created in advance to become an agent of a Corporate account. The Administrator only needs to have the email address of the person that they wishes to add, and this person will receive an email invitation that they should accept, to become an agent in your Corporate account.
- What happens if a user that I want to add as an agent in my Corporate account already has their own Easypromos account?
You can add users that already have their own Easypromos account as agents in the Corporate account. In this case, you should add the user with the access email address of the user, and when they accept the invitation to become an agent of the Corporate account, they will access their Control Panel where they can manage their own campaigns, or they can switch to the Corporate account to manage the campaigns of the Corporate account.
This way, the agent will have access to two different work sessions from the same Control Panel:
1. Their own account: When logging in, this is the account that will be accessed by default. Here they will see their own campaigns that are not related to the Corporate account.
2. The Corporate account: In the "Account configuration" menu, the agent can switch session to access the Control Panel of the Corporate account:
When you switch to the Corporate account, the color of the header of the Control Panel will change to black, indicating that you're now in the Corporate account:
