How to prepare the file for a Pick-a-winner App by Segment Follow
To conduct a Pick-a-winner App by Segment, you first need to prepare a file with the participants and the information that will identify which segment each one belongs to.
The file must contain a single list of participants, with a specific column indicating the segment to which each user belongs.
In this article, we explain how to prepare the participant file and how to correctly map its fields when setting up the drawing.
1. File preparation
Below, we explain the steps to properly prepare your list.
Use a single list
All participants must be included in a single list. It is not necessary to create a different file for each segment.
The platform will automatically identify and group participants according to the segment indicated in the list.
For example, if you want to conduct a drawing among participants from different stores, you should include all participants in the same list and indicate the corresponding store in the Segment column.
Important: It is not necessary to create a file for each segment. All participants must be included in the same list.
Include the necessary columns
The list must contain 2 mandatory columns:
- User identification.
- Segment.
Additionally, you can include a third optional column to indicate the participant's email.
Example of the basic list structure:
And, if you want to include the email:
The columns that the list must contain are:
1. User Identification. This column contains the data that allows identifying each participant. You can use, for example:
- Full name.
- A unique identifier.
- A customer number.
- Any other data that allows identifying the participant.
2. Segment. This column indicates which segment each participant belongs to. Each participant must have an assigned segment in their corresponding row. For example:
In this case, the platform will identify three segments and conduct an independent drawing for each of them:
- Store city 01
- Store city 02
- Store city 03
3. Email (optional). You can add a column with the participants' email addresses. You can include it if you want to later use the Claim Your Prize tool so winners can confirm their details and manage prize delivery.
2. Import and Map the List Fields with the Drawing Fields
Once the list is prepared, you can import it when creating the Segment-Based List Drawing.
During the import process, you must indicate which list column corresponds to each piece of information:
- Main field: This is the field that uniquely identifies the participant and with which the random selection of winners will be made. The tool presents by default the field it considers most appropriate. We recommend that it be the 'email' field so you can use email notification to winners and the tool for winners to identify themselves and claim the prize.
- Display field. This is the field that will be used to publicly present the participants/winners. In this case, you should select the column that contains the data used to identify the participants. Note: if you have a file with the fields 'name' and 'email', we recommend indicating the name as the 'display field' and the email as the 'main field'.
- Segment field: This field allows you to divide your CSV file into as many drawings as you want. In this case, you should select the column that identifies each participant's segment. By mapping this field with the segment column of the file, the system will detect the total number of different segments contained in the list.
Once the mapping is done, the platform will be able to identify the participants and automatically distribute them into their respective segments.
You can then review the participants of each segment and proceed with configuring the drawing.
3. Configure the Drawing
Once you have the list prepared and correctly structured, you can import it and configure your Pick-a-winner App by Segment.
