We have added a new mode within the Pick-a-Winner application: "Draw by groups".

This new mode allows you to conduct multiple independent drawings from a single list of participants. To do so, the list must include a column that identifies the group to which each participant belongs. The platform will automatically detect the different groups and conduct an independent drawing for each one.

Use case example: A chain of stores wants to select 5 winners from the customers of each location. Instead of creating a separate drawing for each store, you can now import a single list containing all participants and include a column indicating the store that each participant belongs to. The platform will automatically create an independent drawing for each store and select 5 winners per store.

How does it work?

When creating the promotion, select "Pick-a-Winner App." You can then choose between the two available modes and select "Draw by groups":

When importing the list, you must map the fields in the file to the fields of the draw. In addition to the main field and the display field, you must specify the "Group" field, which corresponds to the column used to identify and group participants.

Once the list has been imported, the platform will automatically detect the groups, and you will be able to view the name of each group, the number of participants it contains, and the details of its participants.

Winners and alternates

The number of winners and alternates you configure will be applied independently to each group.

For example, if you have 5 groups and configure 1 winner and 3 alternates, the platform will automatically conduct an independent drawing for each group, selecting 1 winner and 3 alternates in each one.

The winner and alternate settings will be the same for all groups. It is not possible to set a different number of winners or alternates for each group.

Results

Once the drawings have been carried out, you will be able to view the results independently for each group.

From the results screen, you can:

• View the winners and alternates for each group.
• Export the results for all groups in a single file:
  • By group: each row corresponds to a group, and the winners are displayed in columns.
  • By winner: each row corresponds to a winner, and the group is displayed in a column.
• Obtain the certificate of validity for each drawing.
• Export the participants in each group.

In addition, an overall winners page is generated, allowing you to view the results for all groups. This page includes a selector to filter the results by group and a search field to make it easier to find winners.

Limits and availability

Draw by groups is available starting with the Basic PRO plan.

The limits depend on the plan:

• Basic PRO: up to 100,000 records and 10 groups.
• Premium: up to 500,000 records and 100 groups.
• White Label: up to 1,000,000 records and 500 groups.

If you need to conduct a drawing with more than 1,000,000 records or more than 500 groups, contact our sales team to discuss the available options.

When is it useful?

This mode is especially useful when you need to conduct the same type of drawing for different groups of participants, such as stores, cities, countries, departments, or categories.

Instead of preparing a file and conducting a different drawing for each group, you can work with a single list, specify the field that identifies each group, and let the platform automatically conduct the different drawings.
