Tutorial: How to create a Coupon Codes promotion

The Coupon Codes app allows you to configure an entry form for users to enter their data and in return offer them a coupon code for a gift or a discount to be redeemed in the store or point of sale.

To create the Coupon Codes app, follow the steps outlined below:

 

 

Step 1. Create the promotion

1. Access the Easypromos Control Panel and log in with your email address and password to manage and create your promotions.

2. Create a new promotion via the ‘Create a new promotion’ button. 

 

3. You will be presented with the products available. Choose ‘Coupon codes’ to create a promotion that consists of a registration form where users let their personal data and a final page where the promotional code is given away.

4. Now you need to choose the platform version to use and then click ‘Continue’:2.jpg

Note: In the Basic version of the platform, the app allows to distribute one single coupon that the users can download, and this coupon will be the same for all participants that register. In Premium and White Label version you have the possibility to distribute a unique code to each participant. You can configure if you want to assign a code to all users that register or to a segment of participants conditioned by their participation criteria. Furthermore, you have the Code Redemption Portal available to validate the codes in real-time and the possibility to use the email platform to send an automatic email to each participant with his or her code. 5. Your promotion is already created! In the background, you can see the promotion management page. A pop-up window will ask you some extra information in order to help you with pre-settings. If you are not interested, you can skip this step.

  • Default language: Option for selecting the language by default in which you wish to display the promotion content.
  • Country. You'll be able to limit participation to one or several particular countries, and only those users who have an IP address corresponding to these countries will be able to register Find more information about country filters.

 

6. Now you find yourself in the promotion management page, where you have all the options to configure the promotion. Below we outline all the most relevant sections:

  1. Header. You will find the title of the promotion, the version and other relevant information such as the ID number of the promotion, which identifies each promotion. Give this number to the Easypromos team if you have any issues with the promotion. This will make it easier for them to review your settings.
  2. Quick button to Preview the promotion. When clicking this button, the Preview tool will open in a new browser window, so you can continue working comfortably in the promotion and, at the same time, preview how the final result is going.
  3. Link to the promotion. This is the URL that you should use in all the dissemination actions that you are going to carry out. More information here.
  4. Copy link button. Here you'll be able to automatically copy the link to disseminate the promotion.
  5. Activate Promotion button. When you have the promotion prepared and ready to launch, click this button to activate and start it. This button will take you to the activation page, where you can review the billing information to proceed to make the payment of the promotion.
  6. Side menu. Here you will find all the configuration options of the promotion.
  7. Promotion status. It indicates the status of the promotion: Draft, Active or Expired, as well as if it’s about to start. Once the promotion period has ended, this field will be marked in red saying: Status: Expired. What to do: Here you can choose what you want to show in the URL of the promotion.
  8. Link to the configuration tutorial. For each type of application you have available from here the link to the step-by-step tutorial so you do not miss any important step.
  9. Direct access to configuration options within the Editor. This module presents the access to the edition of the following sections which are located within the Editor:
    • Management of the dates and the time zone that will have the promotion.
    • Languages: It indicates the default language of the promotion and it allows you to change it if you need it.
    • Localization: It allows to limit the participation to one or several countries (option included by default in the Premium and the White Libel promotions, and in the Basic version by purchasing the additional extension). More information

Step 2. Customize the texts and images of each screen

The platform comes configured with many features that are pre-set based on the application that you have chosen.

From this moment on, you should focus on the customization of promotion texts and images, as well as on colors and font settings.

1. Within the same Editor, go to the first section, "Pages", and configure the texts and images of each page of the promotion.

A) Welcome

  • Change the provisional title for one that allows identify the strong points of your promotion. It’s a good idea to make this descriptive text as attractive as possible to users.
  • Configure the texts for the page and upload an image to give it more dynamism.
  • In the description, change the provisional text to personalize and explain your own contest mechanism so that participants are clear about what steps they should follow to take part in the contest. You can also customize the ‘Enter’ and ‘View entries’ buttons.

After the users fills out the entry form, they’re automatically directed to the Thank you page where they will see their coupon and/or code. This can be shown either in a pop-up that will display when the user reaches the page or by showing just the name of the prize with the option to open the pop-up to view more details. The pop-up will show the coupon image, the code if there is one, and the options to download, send by email and the instructions for use. You can see how to configure all these options in step 3 of this tutorial.

If you select to show the pop-up, the user that have won a coupon can close the pop-up and will then see the Thank you page. On this page you can take the opportunity to thank the users for their participation and you can enable the Share button and a button that you can use to direct to an external website.

Note: If you have selected to show the pop-up but a user has not won, he will land directly on the Thank you page. This can be for example if there was a limited number of coupons to be distributed or if the distribution is conditioned by some participation criterion. 

 

Step 3. Create the prize as a coupon or a promotional code

When the different pages of the promotion have been customized, the next step is to create the coupon that you will be giving away in your promotion and decide the way to assign it and how it will be shown to the users that register.

In the “Coupon codes app” the assignment of the prize will be “On registering” which means that you can give the prizes instantly at the time the user registers in the promotion.

We’ll divide the creation of the prize of your promotion in two steps that we explain below:

 

Step 1: Creating the prize


1. Access the Editor of the promotion:

2. Next, go to Pages > Prizes and click the button “Create my first prize”:

3. Next you will see a window with the different types of prizes that you can create. Select “On Registering”:

4. Then a new window will open where you can configure the basic information of the prize with the following information:

In this example, the prize is a 50% discount on a trip to Andorra and the details are outlined in the field “Short description”. The prize will be assigned on registration and there is a total of 25 units of this prize.

 

5. When you click “Create” you will have created the prize and you will be directed to the page with the list of prizes. Continue to step 2.

 

Step 2: Editing and configuring the characteristics of the prize

 

Once you have created the prize of the promotion, you will be on the page where you can manage the prize and where you will have all the tools to configure it.

Now we will concentrate on editing the prize that we’ve just created to customize all the advanced options. To do that you should follow the following steps:

 

1. Edit the prize. Click on the pencil icon to edit the prize you have created.

2. Go to the “Winner pop-up”. In this tab you will find all the options to customize the design and the contest of the prize pop-up that can be shown to the winners. You can customize the following aspects:

  1. Open pop-up automatically on the Thank you page: When a user wins a prize upon registration, this pop-up can be displayed automatically above the Thank you page. This pop-up comes enabled by default, but you can disable it if you prefer to show the name of the prize directly on the Thank you page. 
  2. Message to winner: Here you can write a message that the user till see in the pop-up when winning the prize.
  3. Pop-up image: You can add an image to the message to the winner to make the pop-up more attractive. It can be an image, an animated GIF o even a video.
  4. Short description: This is the description of the prize that you defined when you created the prize and you can change it now if you want.
  5. Instructions: If you need to add more details about the prize, for example how to redeem the promotional code or for how long it’s valid, you can use this field.
  6. Text to encourage sharing: You can customize the content that will be shared in the “Viral” tab.
  7. Background image: Upload a background image that will be shown underneath the pop-up image. It should be 1200x630px. We recommend using an image that makes the winner pop-up stand out.
  8. Background color: You can define a background color that will be shown underneath the pop-up image if you don’t use a background image and you can configure the opacity of the color.
  9. Text alignment: Configure how you want to align the elements of the winner pop-up.

 

Note: You can add “Download” and “Send” buttons to the winner pop-up so that the user has the possibility to download the coupon or code in PDF and have it sent by email. See the next step for how to enable the option “downloadable content”.

 

3. Go to the “Options” tab: In this tab you will find the options that will allow you to define the characteristics of the prize:

  1. Quantity: Indicate the number coupons or codes that you want to distribute among the participants of your promotion. If you don’t know how many users will register and you want to give a coupon to all of them, you should indicate a higher number than the expected number of users registered. In the case there are more users registered than coupons available, the last participants won’t receive a coupon. You can edit the number of coupons during the course of the promotion.
  2. Do you want this prize to be a promotional code?: This option allows you to convert the prize in a promotional code that the users will obtain automatically when participating in the promotion. So in the dropdown here, you should select “Yes”.

You will see that the system will tell you that you need to create a codeset to be able to convert this prize into a promotional code. In the next step of the tutorial we explain how to create a “Codeset” and upload your unique alphanumeric codes.

 

3. Does this prize have downloadable content?: Enable this option so that the users can download the coupon in PDF format and have it sent by email. You can upload your own PDF for the coupon or point to the external source where the file is saved or mark the option that Easypromos should generate a PDF of the coupon automatically.

Easypromos can generate a PDF of the coupon automatically. In the basic version it’s a standard PDF that can’t be modified, it includes the image of the prize, the name of the participant and the instructions for use of the coupon, if there are any. In Premium version it will include the unique alphanumeric code and [coming soon] any type of participation criterion of the user and 100% customization of the PDF.

Note: In Basic version the coupon will be distributed to all users who register. If you want to give coupons conditioned by some participation criterion, you should use the “Conditions” of the prize (available in Premium and White Label version). 4. Optional. From the “Viral” tab you can customize the messages that the participants share if they win a coupon. From the prize list view you can define how a prize is displayed in case you want to publish it to inform the users of the prize.

 

Step 4. Create a code set to load all the codes to distribute among users [Premium]

In case you’re distributing unique alphanumeric codes, you should load them in a “codeset” and then link this codeset to the prize that you have created in step 3 of this tutorial. This feature is only available in Premium and White Label versions.

The process to create the codes is divided in 3 steps:

 

Step 1: Create a codeset

First of all, you’ll need to create a codeset where you’ll be able to load all the codes that you want to distribute among users. If you need to create a large amount of codes, you must create them in batches of 20,000 (with a maximum limit of 2 million codes).

 

Note: The Easypromos platform provides a system for loading and distributing alphanumeric codes among users registered to the application, but codes must be created outside the Easypromos platform. If you do not have your own code generation system, you can use an online tool or software like this popular free tool. Once you have the promotional codes that you want to distribute among participants, they can be loaded into the code set. This is the process that we explained in this first step of the Tutorial.

 

In order to create the codes, follow the steps below:

1. Access the section Tools > Codeset. Next, click the button “New codeset” to begin loading the codes:

2. In the “Codeset options” screen you’ll be able to create your codeset and upload all the codes that you want to distribute. More precisely, you can upload all the codes by copying and pasting the codes directly into the corresponding field, one code per line.

Considerations to take into account:

  • The codes will be assigned in the same order they have been inserted into this field.
  • You’ll be able to load all the codes in batches of 20,000 (with a maximum limit of 2 million codes).
  • You’ll be able to add new codes at any time by accessing the Codeset options screen again.

Step 2: Configure the options for distribution of the codes

Once you have created the codeset, the next step is to configure the characteristics of the codes you have uploaded in the codeset. In order to do so, in the same “Codeset” section, click on the pencil icon to edit the codeset:

Here you will find the following options:

1. If the codes finish: Decide what you want the system to do when the last code has been distributed:

  • Do not assign any other code: New users will not be assigned any code.
  • Repeat the codes: The same codes will be distributed, starting again from the beginning of the list of the codeset.

2. Type of barcode: The application will always present the promotional code in the format in which it was pre-loaded. However, you will also be able to present it in a QR or barcode format. The formats supported are: 

    • QR Codes
    • EAN-13 Barcodes
    • CODE 128 Barcodes
    • CODE 39 Barcodes

 

Step 3: Link the codeset to the prize

When you have created and configured the characteristics of the codeset, the next step is to link the codeset with the prize.

To do this, go to Pages > Prizes, click on the “Options” tab within the prize you want to link the codeset to and next, select the codeset that you have just created so that the system can distribute the codes among the participants:

Important! If you don’t select any codeset, the system will not distribute any code among users registered.

 

 

Step 5. Customize the design

In the Design menu you can customize the look & feel of your promotion completely to adapt it to your brand or product.

In this way, the section "Design" will be presented with the following options:

  • Template: Decide which design template you want to use to customize the promotion: the Basic design template, or the Premium design template.
  • Colors: Change the colors of the texts and the action elements of the promotion.
  • Typographies: Select the font used for texts and action buttons of the promotion.
  • Buttons (only Premium template): Set the style of the promotion buttons (outlined or solid).
  • Container (only Premium template): Completely customize the container by setting the style, opacity, height or position.
  • Background: Customize the background of the promotion with an own image or a color. The background will be the same for the different pages of the promotion.
  • CSS Styles (only White Label): Use your own CSS styles to completely customize the template-

Step 6. Insert the Terms and Conditions

Insert the terms and conditions, explaining all the aspects that concern the promotion, sweepstakes or contest. These terms will be shown via a button on the main page of the promotion and from a link available via any of the promotion’s pages.

To add the terms and conditions, go to the Editor> General> Legal content, where you will find the following sections:

Step 7. Configure the My Networks module and the promotion footer

The 'My networks' module enables you to totally customize the page that is presented to the user before they finalize the registration to encourage users to visit and follow your social networks. The My Networks module can be customized with Facebook pages, as well as with Twitter, Instagram and Youtube accounts. Learn how to do this here.

To customize the My Networks module go to Editor > General > My Networks:

You can also customize the text at the footer of the promotion, or deactivate this if it doesn’t interest you. This is a banner, presented at the footer of each screen of the promotion.

Step 8. Customize viral content

This section is very important to obtain a high level of virality for the contest. The viral content is the message that will be shown when a participant shares the promotion with friends to invite them to the promotion. You can customize the share message based on the channel through which participants wish to disseminate it when they invite friends to the promotion and obtain recruits.

To customize the viral content of the promotion go to Editor > General > Share:

A) Generic:

Set up the generic contents of the promotion here:

  • Viral image: This is the image that will accompany the text to be shared. To make it optimal for the social networks, we suggest a measurement of 1200px wide by 630px high. This same image will be shared via Facebook, Pinterest and Google+. If you don’t upload a specific image for this section, the main promotion image will be disseminated when a participant shares the promotion.
  • Generic content: This is the viral text that will be disseminated across the social networks when the participant shares the promotion via the share button on the main page, the registration form or the header of the participations gallery. Learn how to configure this.

B) Recruitment.

This is the content that is proposed by default when sharing on the social networks via the final page.

 

Step 9. Check the advanced settings

Access the Editor> Pages> Form> Options to check how users should be registered:

For a Promotional Codes promotion, we recommend setting up the following options:

  • Max. users: Decide if you want to close the promotion to a maximum number of participants. By default, there is no limit of users who can participate in the contest.
  • Maximum entries per user: You can decide how many times the same user can participate. By default it is 1 participation per user.
  • Enable Facebook Login: Enable the login with Facebook window so that the user can participate identifying with his Facebook user.
  • Do you want to be mandatory for users to connect on Facebook?: Requires login with Facebook to participate. Check the form with which participants identify themselves.
  • Enable premoderation: You can moderate your entries before they appear in the public gallery. (This option is not required in a Promotional Codes promotion).
  • Notification of new entrant: Use it if you want to receive an email when a new entrant registers in this promotion.
  • Anti-fraud options: With the aim of helping administrators organize top-quality contests, the platform contains a series of techniques and tools to help minimize the impact of participants bad practices. 

Step 10. Restrictions to access the promotion

The application allows you to restrict the access to the promotion to limit users who can participate in it. Specifically, the platform offers you 2 forms of restriction:

  • Restriction by country: It allows to limit the promotion to a specific country or several countries. In this way, only those users who connect from the selected country or countries will see the promotion.

  • Age Restriction: Limit the promotion to users whose date of birth is higher than the one indicated by the administrator to establish a minimum age to participate in the promotion.

Note: The functionality to restrict the promotion by age is only available for promotions created with the Premium version and the White Label version that have been designed with the Premium design template.

Step 11. Communicate with participants via the Emails Platform

If you need to communicate with participants during and after the promotion, you can use this section to create, customize and send emails.

This tool can be very useful in the promotional codes app because it permits you to configure automatic emails to contact participants with one of these objectives:

  1. To thank participants for registering.
  2. Send the promotional code directly by this channel.
  3. Send an email to all participants confirming that the promotion has ended and thanking them for their participation.

Important! The platform has the ‘smart tags’ feature at its disposal. This enables you to configure customized emails. Use the ‘smart tag’ {{user_recruiting_url}} which, upon sending the email, will be substituted by the recruitment URL of each participant.

Note: The Emails Platform is not included by default in Promotions created with the Basic version. It can be included as an extension for $50USD.

 

Step 12. Preview the promotion

At any time, you can check how the promotion will be displayed once you activate it in order to review the graphic part. To do this, within the same Editor of the promotion you will find the "Preview" direct button in the Editor's header:

Please bear in mind that the preview is not functional; this means that it will let you turn the page even though you haven’t filled in the fields. The best method for testing the functionality of the promotion is to activate the promotion but protect it and carry out tests in a closed group. Here we explain how. 

 

Step 13. Activate the promotion

Once you have configured all aspects of the promotion, you can activate it from the management page of the promotion, where you can make the payment. Here you will find more information.

Step 14. Publish the promotion

Although your promotion is now active, you still need to take the last step: publishing it. On creating the contest, a URL is generated which will be the main promotion link. By default, this main link leads to a microsite where the promotion is presented. Also, and not exclusively, you can publish the promotion on the Facebook Page or embed it in your blog or website. Control where you wish to publish it via ‘Buzz’. You’ll find all the information about this step here.

 

Step 15. Disseminate the promotion

It will also be important to disseminate the promotion via various channels. Always use the main promotion link, as it’s the only one compatible with all types of devices.

You can share the promotion via the following methods:

  • With the direct link to the promotion.
  • With the ‘share’ button on Facebook, Twitter and Pinterest.
  • Creating an outstanding campaign. This option implies placing your campaign in the section of Easypromos highlighted promotions. The highlighted have an additional cost to the price of activating the campaign, and this price is per day of the campaign. If you’d like to create a highlighted campaign, consult this tutorial.

Step 16. Manage the promotion while it is still active

While the promotion is active you can monitor and manage the participants and the promotional codes that are being assigned. In particular, you’ll be able to monitor the activity of your promotion from two different sections:

1. From the Editor > Tools > Codeset From here you’ll be able to check the list of promotional codes that are being distributed among users. In particular, you’ll have tools to:

  • See and filter by the assignment status of the codes.
  • See the name of the user that has been assigned to each code and access from here the individual entry of each assignment.
  • Add new codes to the codeset or delete codes that have not been distributed yet.
  • Sort the list of codes by the insertion date (ascending or descending order).

  

2. From the “View entries” section within the promotion management page, where you’ll be able to see the information of all entrants and download it into an Excel file. 

 

Step 17. Check the Promotion Statistics

Access the ‘Statistics’ section to find out about the evolution of participants and their interaction with the application. This information will be available as soon as the first participation is made until after the promotion has finished. Learn more about the information that you have access to in this section.

Step 18. Enable the Validation Portal

If you need to validate the promotional codes at the point of sale, the Code Redemption Portal will facilitate the redemption of the codes in the physical store.

The Code Redemption Portal is a URL address that is provided to the administrator when setting up the promotion. It can be used by sales outlets to check that the promotional codes provided by their customers are valid.

The Code Redemption Portal can also be used in case of distributing the promotional codes in QR format. In this case, the point of sale will only need to have a smartphone or tablet and use an application to scan QR codes.

Step 19. Final sweepstake among all participants (optional)

If you want to carry out a random sweepstakes, apart from distributing codes during the participation period, you can use the "Sweepstakes tool" to carry out a random draw among all participants or among those who meet the criteria to be a finalist.

To do so, you should follow these steps:

  1. Create a new prize: As this would be a different prize than the one you have distributed to the participants as promotional codes, the first thing you need to do is to create a new prize of the type “By random draw” (Editor > Pages > Prizes). Note: It’s not necessary to have created this prize from the beginning of the promotion, you can create it whenever you want, for example when the participation period is over. This tutorial will guide you in the process of creating the prize.
  2. Assign the prize by draw: When you want to carry out the random draw, go to the “Winners” section from the main management page of the promotion, where you will find the list of prizes of your promotion, locate the prize that you want to raffle. Next, click the “Run sweepstakes” button to begin the winner selection process. This tutorial will guide you in the entire process so you don’t miss a thing.
