Tutorial: How to create an Instant Win promotion

If you want to set up a promotion to award prizes to your followers immediately using "instant wins", follow the steps outlined below:


Step 1. Create the promotion

1. Access the Easypromos Control Panel and log in with your email address and password to manage and create your promotions.



2. Create a new promotion via the ‘Create a new promotion’ button.




3. You will be presented with the products available. Choose ‘Instant win’ to create a promotion that consists in award prizes immediately to the users.


4.Go on to step 2 and choose the platform version to use (Premium or White Label).

 5. Your promotion is already created! In the background, you can see the promotion management page. A pop-up window will ask you some extra information in order to help you with pre-settings. If you are not interested, you can skip this step.

  • Language by default: Option for selecting the language by default in which you wish to display the promotion content.
  • Country. You'll be able to limit participation to one or several particular countries, and only those users who have an IP address corresponding to these countries will be able to register Find more information about country filters.


6. Now you find yourself in the promotion management page, where you have all the options for configuring the promotion. Below we outline all the most relevant sections:


  1. Header. You will find the title of the promotion, the version and other relevant information such as the ID number of the promotion, which identifies each promotion (give this number to the Easypromos team if you have any issues with the promotion. This will make it easier for them to review your settings). Also you will find the Promotion status, that indicates the status of the promotion: Draft, Active or Expired, as well as if it’s about to start. Once the promotion period has ended, this field will be marked in red saying: Status: Expired. What to do: Here you can choose what you want to show in the URL of the promotion.
  2. Link to the promotion. This is the URL that you should use in all the dissemination actions that you are going to carry out. More information here. Also you will find the Copy link button. Here you'll be able to automatically copy the link to disseminate the promotion.
  3. Activate Promotion button. When you have the promotion prepared and ready to launch, click this button to activate and start it. This button will take you to the activation page, where you can review the billing information to proceed to make the payment of the promotion.
  4. Side menu. Here you will find all the configuration options of the promotion.
  5. View tutorial. Here you will have a tutorial that will guide you step by step in the creation and management of your promotion.
  6. Management of the dates and the time zone that will have the promotion.
    Languages: It indicates the default language of the promotion and it allows you to change it if you need it.
    Localization: It allows to limit the participation to one or several countries (option included by default in the Premium and the White Libel promotions, and in the Basic version by purchasing the additional extension). More information.

Step 2. Customize the texts and images of each page

Now let’s take a look at the customization of the texts and images of the promotion, as well as colors and font settings.

1. Configure the texts and images of each page of the promotion. To do so, go to the Editor > Pages where you should focus on the following pages:


A) Welcome

  • Change the provisional title for one that allows identify the strong points of your promotion. It’s a good idea to make this descriptive text as attractive as possible to users.
  • Configure the texts for the page and upload image to give it more dynamism.
  • In the description, change the provisional text to personalize and explain your own contest mechanism so that participants are clear about what steps they should follow to take part in the contest. You can also customize the ‘Enter’ and ‘View entries’ buttons.

B) Entry form.

  • Add the fields that you wish your participants to complete. You can also customize the text and page header image. In the Premium and White Label versions you can fill in the form with all the additional fields, dropdown menus and check boxes that you need. Find all the information about how to set up the entry form. 

C) Thank you.

After a user fills in the entry form, he is automatically taken to the Thank you page where he will see if he has won one a prize. You can select if you want the winner pop-up to be displayed above the Thank you page where you can write a message to the winner and show an image of the prize he has won. You can customize the content of this pop-up for each prize you create. You can configure all these options in Step 3 of this tutorial.

If you select to show the pop-up, the user that have won an instant win prize can close the pop-up and will then see the Thank you page. On this page you can take the opportunity to thank the users for their participation and you can enable the Share button and a button that you can use to direct to an external website.


Note: If you have selected to show the pop-up but a user has not won, he will land directly on the Thank you page. You can customize the message to non-winners in Step 6 of this tutorial.


Step 3. Create the prizes of the promotion

When the different pages of the promotion have been customized, the next step is to create the coupon that you will be giving away in your promotion and decide the way to assign it and how it will be shown to the users that register.

Easypromos provides a complete Prize and Winners Management system that allows you to create the prizes that you want to give away to the users that participate in your promotion as well as configure the way you want to assign the prizes.

There are 4 different ways of assigning the prizes. In this type of promotion, we will select “By Instant Win” which means that you will be able to give direct prizes depending on the time the user signs up.

To create you “Instant Win” prize you should follow these steps:


1. Access the Editor of the promotion:



2. Next, go to General > Prizes and click the button “Create my first prize”:


3. Next you will see a window with the different types of prizes that you can create. Select “By Instant Win”: 


4. Then a new window will open where you can configure the basic information of the prize with the following information:


In this example, the prize is a free course and the details are outlined in the field “Short description”. The prize will be assigned by instant win and there is a total of 1 unit of this prize.


5. When you click “Create” you will have created the prize and you will be directed to the page with the list of prizes. From here, the next step is to edit and configure the characteristics of the prize. You can configure, for example, how a prize is displayed to a user who has won, if the prize is a promotional code or if it’s a prize that can be downloaded, or you can configure the viral messages that will be shared by the users. In the following link we will show you all the features of a prize that you can configure. Follow this tutorial to not miss a thing.

6. If you’re giving away different types of prizes in the same Instant Win promotion, you should create a new prize for each type. Repeat step 1 to 6 explained above.


Step 4. Schedule the prize assignment

When you have created the the prize(s) you want to give away to the users that register in your promotion, the next step is to define the instant win moments, meaning configure and schedule the assignment of the prizes using the Instant win system.

This step is necessary to the define date and time when you want the prizes to be assigned as well as to configure some of the characteristics of the instant win moments.

To do this, you should follow these steps:


1. Enter the Editor of the promotion and go to Tools > Instant Win. First of all you have to enable the system by ticking the checkbox “Enable Instant Win”:


2. Now we will take a look at all the options you will find in this section:



  1. Options tab: Here you see the options to configure the behaviour of the Instant Win system in your promotion which are:
    • Do you want to assign new entries every day? By selecting this option, every day the user will be assigned the number of entries as defined by the administrator in “Maximum entries per user” (Editor > Pages > Entry form > Options).
    • Disable entry form for multiple entries: If you wish to assign users new entries each day, this option enables you to disable the registration form from the second participation onward.
    • Participants can only win once: By default, this box comes checked by the application and ensures that the user can only win one prize during the promotion. However, if you prefer, you can uncheck this box so that users have the chance to win more prizes.
    • Enable void prizes: Upon checking this option, if no user has entered the promotion before the next instant win moment, the prize will stay unassigned.
  2. Calendar / List tabs: These allow to see a list of the scheduled Instant Win moments in either calendar format (by default) or in list format.
  3. Here you will see all the Instant win prizes that you have created in Step 3 of this tutorial. In case you’ve created different types of prizes, these will be identified with a different color each. For each prize, the following information is shown:  
      • Name of the prize.
      • Units of the prize.
      • Number of scheduled Instant win moments for the prizetwo_IW_prizes.png
    In the previous image we can see that in the promotion there are two different types of Instant win prizes: “Free course” with 15 units and “Batch of books” with 25 units. The 0 indicates that no Instant win moments have been scheduled for either one of the prizes.
  4. Button "Add Instant Win": It will allow you to create the "winning moments" for each type of prize you have created. 


3. Click on “Add Instant win” to begin scheduling the Instant win moments for each prize. When you click, a pop-up window will open where you will see the following options:IW_management.png 

  1. Select the prize: Here you select the prize you want to schedule the Instant win moments for.
  2. How many prizes do you want to create? Select how many Instant win moments you want to create for this prize. You can schedule all the Instant win moments at once or start with one if you want to see how it works or you want to schedule a certain date and time for each prize.
  3. Date: Select the period of time during which you want the Instant win moments to be distributed and the system will schedule them randomly for you. 


4. When you have configured these options, click “Save” and you’ll have created the instant win moments for the selected prize. You can see scheduled instant wins in the calendar:


5. If you have created more types of prizes, you should repeat the same steps to schedule the instant win moments for the other prizes as well. To do this, click on the “Add instant win” button again and in the window where you manage the instant win moments, you will see the types of prizes that are pending to be scheduled:


When all instant win moments are scheduled for the different prizes in the promotion, you can see the distribution to check the dates where they will be distributed during the promotion. You can change the date and time of the instant win moments if for example there’s many prizes scheduled for the same date. For each instant win moment you have the options to “edit” and “delete”:



Step 5. Define a message for non-winners

By default, when a user completes the registration and does not win any prize, he’s taken to the Thank you page with the ‘Thank you for participating’ message which you can customize, but you also have the possibility to configure a special message for non-winners. Use this option to write a special thank you message to those who haven’t won and encourage them to try their luck again.

In order to customize this message to non-winners, you should follow these steps:

  1. Enter the Editor of the promotion.
  2. Go to Pages > Thank you > Non-winner message and check the box “Do you want to configure a non-winners message?”
  3. Now you can customize the message for the non-winners with the following options:
    • Upload media. This image will be displayed together with the message. We recommend to use an image with the dimensions of 810x160px.
    • Non-winner message. Use this to thank them for their participation and remind them that they can try their luck again, if that’s the case. 

Note: This content will replace the "Thank you message" and the header image when a user doesn't win a prize after entering.

Step 6. Customize the design 

In the “Design” section of the Editor you can customize the look & feel of your promotion completely to adapt it to your brand or product.

Here you will have the following options:


  • Colors: Change the colors of the texts and the action elements of the promotion.
  • Typographies: Select the font used for texts and action buttons of the promotion.
  • Buttons (only Premium template): Set the style of the promotion buttons (outlined or solid).
  • Container (only Premium template): Completely customize the container by setting the style, opacity, height or position.
  • Background: Customize the background of the promotion with an own image or a color. The background will be the same for the different pages of the promotion.
  • Template: Decide which design template you want to use to customize the promotion: the Basic design template, or the Premium design template.
  • CSS Styles (only White Label): Use your own CSS styles to completely customize the template.

Step 7. Insert Terms and Conditions

Insert the terms and conditions, explaining all the aspects that concern the promotion, sweepstakes or contest. These terms and conditions will be shown via a button on the Welcome page of the promotion and from a link that's available on any of the promotion’s pages.

To add the terms and conditions, go to the Editor> General> Legal content, where you will find the following sections:

  • Terms and conditions.
  • Privacy Policy (only in Premium & White Label promotions).
  • Cookies Policy (only in Premium & White Label promotions).

Step 8. Configure the My Networks modules and the promotion footer

The 'My networks' module enables you to fully customize this “Follow us” pop-up that you can choose to display to the user at a point in the promotion that you select:

  • On loading the welcome page.
  • On clicking the Enter button on the welcome page.
  • On clicking the Submit button on the entry form page.

This means you can give them the option to go to or ‘Like’ your Facebook Page. The My Networks module can be customized with Facebook pages, as well as with Twitter, Instagram and Youtube accounts. Learn how to do this here.

To customize the My Networks module go to Editor > General > My Networks:


You can also customize the text in the footer of the promotion, or deactivate this if you don’t want it. To enable the Footer of the promotion go to Editor > General > Footer > Contents where you will find a field "Powered by" that will allow you to customize the name of the brand or company that organizes the promotion:


Note: If you’re creating a multi-language promotion, you need to have the footer, because it’s here the different languages of the promotion is shown and where users can change the language they want to see the promotion in.

Step 9. Customize viral content

This section is very important to obtain a high level of virality for the contest. The viral content is the message that will be shown when a participant shares the promotion with friends. You can customize the share message for the different channels where it can be shared.

To customize the viral content of the promotion go to Editor > General > Share:


You should complete the following sections:

A) Generic:

Set up the generic contents of the promotion here:

  • Viral image: This is the image that will accompany the text to be shared. To make it optimal for the social networks, we suggest a measurement of 1200px wide by 630px high. This same image will be shared via Facebook, Pinterest and Google+. If you don’t upload a specific image for this section, the main promotion image will be disseminated when a participant shares the promotion.
  • Generic content: This is the viral text that will be disseminated across the social networks when the participant shares the promotion via the share button on the main page, the registration form or the header of the participations gallery. Learn how to configure this.

B) Recruitment.

This is the content that is proposed by default when sharing on social networks via the Thank you page.


Step 10. Check the advanced configurations

Access the Editor> Pages> Entry Form > Options to check how users will register:


Below we explain what each of these options consists of:

  1. Max. users: Decide if you want to close the promotion to a maximum number of participants. By default, there is no limit of users who can participate in the contest.
  2. Maximum entries per user: In this type of promotion it is normal to give more than one participation to each user. Indicate here how many participations/opportunities you wish to give each user.
  3. Enable Facebook Login: Enable the login with Facebook window so that the user can participate identifying with his Facebook user.
  4. Do you want to be mandatory for users to connect on Facebook?: Requires login with Facebook to participate. Check the form with which participants identify themselves.
  5. Enable premoderation: You can moderate your entries before they appear in the public gallery. (This option is not required in an Instant Win promotion).
  6. Notification of new entrant: Use it if you want to receive an email when a new entrant registers in this promotion.
  7. Anti-fraud options: With the aim of helping administrators organize top-quality contests, the platform contains a series of techniques and tools to help minimize the impact of participants bad practices. More information. Specifically, in an Instant Win promotion you must configure the following options:
    1. Max. entries by Browser / IP: Expand this limit based on the number of participations that you give per user. Bear in mind that more than one user from the same family or office can participate from a single IP.
    2. Frequency of participation from the same IP: Disable this restriction by deleting the number in the box or replacing it with 0 if you are planning to give several participations to users.

Step 11. Restrictions to access the promotion

The application allows you to restrict the access to the promotion to limit users who can participate in it. Specifically, the platform offers you 2 forms of restriction:


Note: The functionality to restrict the promotion by age is only available for promotions created with the Premium version and the White Label version that have been designed with the Premium design template.




Step 12. Communicate with participants via the Emails Platform 

If you need to communicate with participants during and after the promotion, you can use this section to create, customize and send emails.

This tool can be very useful in the Instant Win promotions because it permits you to configure automatic emails to contact participants with one of these objectives:

  1. Send an email to the winners depending on their prize. 
  2. Send an email with a coupon attached to all the instant winners.
  3. Send an email to all participants confirming that the promotion has ended and thanking them for their participation.

Important! The platform has the ‘smart tags’ feature at its disposal. This enables you to configure customized emails. Use the ‘smart tag’ {{user_recruiting_url}} which, upon sending the email, will be substituted by the recruitment URL of each participant.


Step 13. Preview the promotion

You can check how the promotion will be displayed once activated in order to review the graphic part. To do this, within the same Editor of the promotion you will find the "Preview" direct button in the Editor's header:


Please keep in mind that the Preview of the promotion is only to see what the promotion will look like, it doesn’t work to test features. That’s why you can go to the next page without filling in your data for example. To test the recruitment process of the promotion, you need to activate and you can protect it with a password to test it privately. Here we explain how.


Step 14. Activate the promotion

Once you have configured all aspects of the promotion, you can activate it from the management page of the promotion, where you can make the payment. Here you will find more information. You can find more information here.


Step 15. Publish the promotion

Although your promotion is now active, you still need to take the last step: publishing it. On creating the contest, a microsite where the promotion is displayed is created with its unique URL. This URL is the main link to the promotion. By default, this main link leads to the welcome page in the microsite but you can change this. You can also, and not exclusively, publish the promotion on a Facebook Page or embed it in your blog or website. You can control where you wish to publish it via “Buzz”. Step 16. Disseminate the promotion

It’s also important to disseminate the promotion on different channels. Always use the main link to the promotion as it’s the only one compatible with all types of devices. as it’s the only one compatible with all types of devices.

You can share the promotion via the following methods:

  • With the direct link to the promotion.
  • With the ‘share’ button on Facebook, Twitter and Pinterest.
  • Making your promotion a Featured promotion. This option implies placing your campaign in the section of Easypromos highlighted promotions. This has an additional cost to the price of activating the campaign, and this price is per day of the campaign. If you’d like to create a highlighted campaign, consult this tutorial.

Step 17. Manage the promotion while it's active

While the promotion is active you can monitor and manage the entries from the management page by clicking on the ‘Participants’ section in the menu on the left side. You can also access the entries list form the “Statistics”:



From the ‘Participants’ section you will be able to see information about all participants and download it to Excel.

Note: Information about participants will be available even when the promotion has finished.

Furthermore, from the section Editor > Tools > Instant Win you can verify the assignment of the different prizes to the participants at any given time. You can see the winners from each day in the calendar and in the list of prizes:




Step 18. Check the promotion statistics

Access the ‘Statistics’ section to find out about the evolution of participants and their interaction with the application. This information will be available as soon as the first participation is made until after the promotion has finished. Learn more about the information that you have access to in this section.



Step 19. Final sweepstake to give away the prize and publish the winners

If you want to carry out a random sweepstakes, apart from distributing codes during the participation period, you can use the "Sweepstakes tool" to carry out a random draw among all participants or among those who meet the criteria to be a finalist.

To do so, you should follow these steps:

  1. Create a new prize: As this would be a different prize than the one you have distributed to the participants as promotional codes, the first thing you need to do is to create a new prize of the type “By random draw” (Editor > Pages > Prizes). Note: It’s not necessary to have created this prize from the beginning of the promotion, you can create it whenever you want, for example when the participation period is over. This tutorial will guide you in the process of creating the prize.
  2. Assign the prize by draw: When you want to carry out the random draw, go to the “Winners” section from the main management page of the promotion, where you will find the list of prizes of your promotion, locate the prize that you want to raffle. Next, click the “Run sweepstakes” button to begin the winner selection process. This tutorial will guide you in the entire process so you don’t miss a thing.


Step 20. End of the promotion

The end of a promotion is controlled through the dates set up in the promotion Editor, so when the "End of publication date" is passed, the promotion changes from active status to expired status and, by default, the promotion is unpublished and is no longer visible, and in this case, a screen with the message "promotion expired" is displayed. 
As administrator of the contest you have the possibility to edit the content of this "promotion expired" screen, or even republish the promotion so that it is visible again, for example, if you want to show the winners of the promotion or keep the contest gallery visible.
