Tutorial: How to create an Instant Win promotion

Instant Win promotions are a great way to introduce some excitement into your campaigns. Follow the steps below to create a competition that awards prizes instantly and at random. Learn how to round off your promotion with a final grand prize (optional).


Step 1. Create the promotion

1. Access the Easypromos Control Panel and log in with your email address and password to manage and create your promotions.



2. Create a new promotion by clicking the green button. New_promotion.jpg

3. You'll see a list of the different types of promotion available. Choose Instant Win to create a promotion which instantly and randomly awards exciting prizes to users.


4. As a next step, set up the following options:

  • Organizing brand. As a first step, you should select or create an organizing brand for your promotion. This organizing brand is independent of any social network and works as a folder within your Easypromos account, in order to help organize the promotions that you create.
  • Template version. Select which template you want to use to create your promotion: Premium or White Label.

5. After clicking on "Continue" button, you'll get access to the promotion management page, where you'll find all the promotion options. Below, we outline the most important sections:


  1. Header. This displays the title of the promotion, the version (Premium or White Label), and other relevant information, such as the promotion ID number. The promotion status indicates whether your campaign is Draft, Active or Expired, as well as if it’s about to start. Once the promotion period has ended, this field will be marked in red saying: Status: Expired. You can choose what to show on an expired promotion page.
  2. Link to the promotion. Use this URL whenever you share the promotion. Learn more about sharing here. The copy link button automatically copies the link to make sharing even faster.
  3. Activate Promotion. When the promotion is ready to launch, click this button to activate it. You'll be taken to the activation page, where you can review billing information and make payments.
  4. Side menu. All your promotion settings in one place.
  5. View tutorial. This tutorial guides you step by step through the creation and management of your promotion.
  6. Promotion dates controls the timezone and phases of the promotion.
    Languages indicates the default language of the promotion. You can edit this if you wish.
    Localization limits participation to one or several countries. Learn more about country restriction.
  7. Next steps: Practical recommendations that will guide you in the creation and management of your campaign.
Note: the promotion ID number (#) is a unique identifier for each promotion. Quote this number if you need to contact the Easypromos support team with any issues. This will make it easier for us to review your settings and help you out.

Step 2. Create the prizes

Once you have customized the different pages of the promotion, the next step is to create your prizes, coupons or promotional codes. You also need to decide how to display and award the prizes.

Easypromos provides a complete Prize and Winners Management system. You can list the prizes you are giving away and configure how they will be assigned.

There are 4 different ways of assigning prizes. In this type of promotion, we will select “By Instant Win”. Prizes are awarded, or not, based on the moment the user signs up for the promotion.

Follow the steps below to create an Instant Win prize:


1. Go to Editor:



2. Next, go to General > Prizes.  In this section you will see that you have already created 3 prizes as an example so that the process of creating the prizes is easier for you.


3. Next, you can edit and configure the characteristics of the prize in more detail. You can set up how prizes are displayed to winners, create a promotional code or download, and design content for users to share on social media. Follow this tutorial to explore all the options available.


In this example, the prize is a free course and the details are outlined in the field “Short description”. The prize will be assigned by instant win and there is a total of 1 unit of this prize (so there will only be 1 winner). 


4. If you’re giving away a range of prizes as part of the same promotion, you must create a new prize for each type. Repeat the steps above as needed.


Step 3. Schedule prize assignment

Now you've created your prizes, the next step is to define the Instant Win moments. This means scheduling when prizes are awarded with the Instant Win feature. You'll need to set a date and time to award each prize.

Follow the steps below:


1. Go to Editor > Tools > Instant Win. First, enable the system by checking the button "Enable":


2. Now let's take a look at all your options in this section:



  1. Options: Here you will find the option "Enable void prizes", which allows that if no user has entered the promotion just at the time that coincides with one of the programmed prizes, the prize will be deserted.
  2. Calendar / List tabs: View a list of scheduled Instant Win moments in calendar (default) or list format.
  3. View all the prizes that you've created. If you have a range of different prizes, the different types will be identified by different colours. You can view the following information:
      • Name of the prize.
      • Number of prize units.
      • Number of scheduled Instant Win moments.two_IW_prizes.png
    In the example above, there are two different types of prize: “Free course” (15 units) and “Batch of books” (25 units). The 0 indicates that no Instant Win moments have been scheduled for either prize.
  4. Add Instant Win: Use this button to schedule an Instant Win moment for the prize.


3. Click on “Add Instant Win” to begin scheduling winning moments for each prize. A pop-up will appear with the following options:IW_management.png

  1. Select the prize: Choose which prize to schedule.
  2. How many prizes do you want to create? Select how many Instant Win moments this prize will have. You can schedule all the Instant Win moments for the same time, or give each one a specific time and date.
  3. Date: Select the period of time during which you want the Instant Win moments to be distributed. If you have not edited the moments individually, the system will schedule winning moments randomly within these dates.


4. When you have configured these options, click “Save”. You can see scheduled instant wins in the calendar:


5. If you have created multiple prizes, you should repeat the same steps to schedule more instant win moments. Click on the “Add Instant Win” button again. You'll be able to see which prizes still need to be scheduled:


When you have scheduled Instant Win moments for all the prizes, check the overall distribution of prizes throughout the promotion. You can change the date and time of each Instant Win moment, for example, if too many of them occur on the same day. You can choose to “edit” or “delete”:



Step 4. Define the participations by user and the Login system

Next, you can configure the number of participations and the frequency of participation, as well as how you want users to identify themselves to participate.

To do this, as a first step, access the "Participation" tab, where you'll see that the participation mechanic of the "Instant Win" promotion has been automatically created, called "Check in", which consists of a direct participation mechanic.

As a first step, click on the pencil icon to configure the participation properties:


Then you will find the following configuration tabs:


1. Options: From this section you can configure the number of times that users can try their luck at the Instant Win, as well as the frequency of participation. In addition, you can also check the box "If giving direct prizes on participating, users can only win one prize", which allows you to configure that the same participant can only win 1 prize.


2. Requirements: Optionally, before trying their luck, the promotion may present Requirements as a complement to the user's participation, which are additional actions that the users need to carry out mandatorily before being able to participate. It’s possible to establish one of the following types of requirements:

  • Validate a code: The user needs to enter a valid code to be able to access the participation mechanic.
  • Watch a video: The user needs to watch a YouTube video until the end to access the participation mechanic.


3. Check in configuration. The Chek in is a screen that will appear to the user after submitting the registration form and just before discovering whether or not they have won an award. This screen is specified with a "Continue" button to access the result of the award allocation or it can also be configured as a progress bar that automatically redirects the user after 3 seconds.

In this tab you will find all the options to customize and configure the mechanics of the Chek in:

  • Image: By default, it comes with an animated GIF that simulates the process of registering the user's participation, as a previous step before discovering if it is one of the winners.
  • Description: You can customize the text that will be shown on this previous screen.
  • Option "How do you want the transition to be?": It allows you to configure the transition to the screen where the user will discover if he has been the winner. This transition can be:
    • Automatic redirection: The user will be automatically redirected to the next screen after 3 seconds.
    • By clicking a button: You can customize the text of the button that will take the user to the next screen.


Then go to the Editor > Pages > Login and you can set up the way users can identify themselves to participate in the Prize Wheel. Discover here the different types of Login and all the configuration options.


Step 6. Define a message to non-winners

In an Instant Win competition, there's always the chance that a user will complete registration and not win a prize. By default, these users are taken to a page which thanks them for participating - the same page which winners see, after the pop-up announcing their prize.

But you can customize the thank you page with a special message for non-winners. Show them them that their participation is valued, and encourage them to try their luck again!

To customize the message to non-winners, follow these steps:

  1. Go to Editor > Pages > Thank you > Non-winner message.
  2. Check the box “Do you want to configure a non-winners message?”
  3. Customize the message with the following options:
    • Upload media. You can display an image of your choice alongside the message. We recommend dimensions of 810x160px.
    • Message. Use this to thank users for their participation. Remind them that they can try their luck again, if you have set up the promotion to allow multiple entries.

Note: This content will replace the "Thank you message" and the header image for users who have not won a prize.

Step 6. Customize the text and images for each page

Now let’s take a look at customizing text and images for the promotion. You can also adjust colors and font settings.

1. To format the text and images for each page of the promotion, go to Editor > Pages. We recommend starting with the following sections:


A) Welcome

  • Change the provisional title for one that highlights the strong points of your promotion. Make it sound as attractive as possible to your users.
  • Format the text, and upload an image to make the page more dynamic.
  • Change the provisional description to explain exactly how users can take part. You can also customize the ‘Enter’ and ‘View entries’ buttons.

B) Entry Form.

  • Add the fields that you want participants to complete. You can also customize the text and page header image. You can expand the form with all the additional fields, dropdown menus and check boxes that you need. Learn how to design and set up the Entry Form.

C) Thank You.

After users complete the Entry Form, they are automatically taken to the Thank You page to learn if they have won a prize. You can choose to display a pop-up to the lucky winners, with an image of the prize. You can customize the content of this pop-up for each prize you create. Carry on to Step 3 to learn more about your options.

When winners close the pop-up, they will see the Thank You page. Thank your followers for taking part, and encourage them to share, follow or like your page.


Note: If you have enabled the pop-up, users who have not won prizes will land directly on the Thank you page. You can customize the message to non-winners in Step 6 of this tutorial.


Step 7. Customize the design 

In the “Design” section of the Editor, you can completely customize the look and feel of the promotion to suit your brand or product.

Here are your options, in detail:

  • Colors: Change the colors of texts and action elements (such as buttons) in the promotion.
  • Typographies: Select the font used for texts and action elements.
  • Container: Completely customize the container by setting the style, opacity, height or position.
  • Background: Customize the background of the promotion with your own image or choice of colours. The background will be the same for each page of the promotion.
  • Other: Set the style of the promotion buttons (outlined or solid), as well as the color of the button text. Also from here you can customize the background color of the pop-up windows of the promotion (for example: window that opens the terms and conditions, My Networks window, etc.)
  • Advanced (White Label promotions only): Use your own CSS styles to completely customize the template.

Step 8. Insert legal texts

In this section you can upload legal texts to display them in the promotion. Specifically you can upload the terms and conditions to explain all aspects of the promotion, contest or sweepstakes. Additionally you can also upload your privacy policy to explain how and for what purpose you will treat the data of the users that register in the promotion. It's also possible to upload your own Cookies policy.

To insert the terms and conditions, go to Editor > General > Legal content, where you will find the following sections:

  • Terms and conditions
  • Privacy Policy
  • Cookies Policy

Step 9. Configure My Networks and the promotion footer

The 'My Networks' module enables you to customize a message, inviting users to follow you on social media. This pop-up appears:

  • On loading the welcome page.
  • On clicking the Enter button on the welcome page.
  • On clicking the Submit button on the entry form page.

This invites users to visit and Like your Facebook Page. My Networks can be set up for Facebook pages, as well as Twitter, Instagram and Youtube accounts. Learn how to do this here.

To customize My Networks, go to Editor > General > My Networks:


You can also customize the text in the footer of the promotion, or deactivate it if you're not interested. The text is displayed as a banner at the foot of each screen of the promotion.

To enable the promotion footer, go to Editor > General > Footer where you'll see the following options:

  • "Created by" field which will allow you to customize the name of the brand or company organizing the promotion.
  • Decide what elements you want to show in the promotion foot.

Note: If you’re creating a multi-language promotion, you must include the footer. This is where users can view and edit their language options.




Step 10. Customize viral content

This section is very important if you want your promotion to go viral. The viral content is the message which is displayed when participants share the promotion with friends. You can customize the share message for your different social media channels.

To customize the viral content of the promotion, go to Editor > General > Share:


We recommend completing the following sections:

A) Generic:

Set up the generic contents of the promotion here:

  • Viral image: This is the image which will accompany the share text. To optimize for social networks, we suggest dimensions of 1200px by 630px. The same image will be shared on Facebook, Pinterest and Google+. If you don’t upload a specific image for this section, the main promotion image will be displayed when participants share.
  • Generic content: This is the viral text shared on social networks, whenever participants use the share button on the main page or the registration form. Learn how to edit it.

B) Recruitment.

This content is displayed when participants share with their friends via the Thank You page.


Step 11. Set entry restrictions

You can restrict access to the promotion for certain users. Specifically, the platform offers you 2 forms of restriction:

  • Restriction by country: You can limit the promotion to a specific country or countries. In this way, only users who connect from the selected country will be able to see the promotion. Learn how to enable country restriction here.




Step 12. Communicate with participants via the email platform

Use this feature to create, customize and send automated emails, both during and after the promotion.

This tool is especially useful for Instant Win promotions. You might need to contact participants for any one of the following reasons:

  1. Contact prize winners. 
  2. Send an email to all winners, with a coupon attached.
  3. Send an email to all participants, confirming that the promotion has ended and thanking them for their participation.

Important! The platform has the ‘smart tags’ feature at its disposal. This enables you to configure customized emails. Use the ‘smart tag’ {{user_recruiting_url}} which, upon sending the email, will be substituted by each participant's unique recruitment URL.


Step 13. Activate the promotion

Once you have set up the promotion, you can activate it from the management page. You can also view billing information and make payments from this page. Learn more here.



Step 14. Publish the promotion

Although your promotion is now active, you still need to take the final step: publishing it.

When you created your promotion, a microsite with a unique URL was generated. This URL is the main link to the promotion. By default, it leads to the welcome page, but you can change this. You can also, and not exclusively, publish the promotion on a Facebook Page or embed it in your blog or website. Control where you publish the promotion URL via “Buzz”. Step 15. Share the promotion

It’s important to share the promotion on as many different channels as possible. Always use the main link to the promotion, as it’s uniquely compatible with all devices.

You can share the promotion via the following methods:

  • With the direct link to the promotion.
  • With the ‘share’ button on Facebook, Twitter and Pinterest.
  • Use Facebook Ads to give more visibility to the promotion. One of the most effective ways to improve the visibility of the promotion is through the Facebook advertising service, which will allow you to create an advertisement to promote the contest and generate traffic to the promotion. To do this, you must access the Facebook advertisers page and create an advertisement to promote the contest.
  • Making your promotion a Featured promotion. This adds your campaign to the list of Easypromos highlighted promotions. Featuring a promotion carries an additional cost, calculated per day of the campaign. If you’d like to Feature a campaign, consult this tutorial.

Step 16. Manage the active promotion

While the promotion is active, you can monitor entries from the management page. Click on Participants in the left-hand menu. You can also access the entries list via Statistics.



From the Participants section, you can view information about all participants and download it to an Excel file.

Note: Information about participants will be available from your account, even after the promotion has finished.

Go to Editor > Tools > Instant Win to verify how prizes have been assigned. You can view each day's winners in the Calendar, as well as in the list of prizes:




Step 17. View promotion statistics

Access Statistics to view information about participants and how they interact with the promotion app. This information will become available as soon as the first participant registers, and it remains accessible from your account after the promotion has finished. Learn more about the information that you have access to in this section.



Step 18. Award a final grand prize (optional)

You can choose to include a final grand prize, in addition to coupons and codes shared throughout the Instant Win promotion. Use the Sweepstakes tool to carry out a random prize draw among all participants, or a segment of participants.

Follow these steps to award a final prize:

  1. Create a new prize: Create a new prize of the type “By random draw” (Editor > Pages > Prizes). You can create this prize at any stage of the promotion, even once the participation period has ended. Follow this tutorial to create the prize.
  2. Assign the prize: When you want to carry out the prize draw, go to Winners, in the left-hand menu of the promotion management page. Choose the prize that you want to give away, and click the “Run sweepstakes” button. This tutorial will guide you through the complete process.


Step 19. Finishing up the promotion

The end of a promotion is controlled by the dates set up in the promotion Editor. When the "End of publication date" is passed, the promotion status changes from active to expired. By default, the promotion is unpublished and is no longer visible. If users try to access the promotion URL, a screen with the message "promotion expired" is displayed.
As administrator of the contest, you can choose to edit the content of this "promotion expired" screen. You could republish the promotion so that it is visible again, show the winners of the promotion, or keep a contest gallery visible.
