Tutorial: How to create a Spin the Wheel promotion Follow

1. General description
The “Spin the Wheel” app allows you to set up an entry form that users need to fill in and then they get the chance of trying their luck by spinning the wheel to see if they’ve won one of the prizes you’ve set up in the promotion. When you set up the promotion, you can create up to 30 different prizes to give away in the wheel and can customize the number of units of each prize.
These prizes will be shown in the prize wheel as “segments” and you can also choose the number of segments that you want to show and their order and layout in the wheel. If you don’t want all users to get a prize, you can also add “No prize” segments. The managing tool will also allow you to control the probability of the prizes and even indicates specific dates and times of allocation for certain prizes.
2. How does the prize assignment in a Spin the Wheel promotion work?
In a Wheel you can add two different types of prizes:
- Prizes "by Probability": These are prizes that are assigned based on the probabilities defined by the organizer.
- "Instant Win" Prizes: These are prizes that are assigned based on a date and time defined by the organizer.
Important note: "Instant Win" type prizes have priority over "by Probability" type prizes. This means that if there is an Instant Win prize unit available, it will always be allocated on the wheel and distributed to the first user participating.
1. Probability management
From the Promotion Editor, the administrator will be able to define all the probabilities of the “by Probability” type prizes. For example: if you have 3 prizes and you want to make sure that one of them has a better chance of winning on the wheel, you can define the odds in this way:
- Prize 1: 60%.
- Prize 2: 20%.
- Prize 3: 20%.
You can also add the option of "No prize" and define its probability. In the example above, you could add a “No Prize” box and define a probability of 30% and keep Prize 1 as the most likely to be distributed. In this case, you could define the probabilities like this:
- Prize 1: 50%.
- Prize 2: 10%.
- Prize 3: 10%.
- No prize: 30%.
This is just one example of the possibilities you have with the Wheel prizes odds manager:
Note: The odds manager calculates over 1,000 instead of over 100 in order to define a more exact probability.
2. Management of Instant Win prizes
You can add prizes to the Wheel that are not assigned by probability but are assigned on a specific date and time defined by the administrator.
The Instant Win prizes can be combined in the Wheel with Prizes by Probability and it is the recommended option when you have prizes of higher value or with few units and you want to control exactly how often and when they are given.
The promotions manager has a tool that will allow you to define the specific date and time of each unit of the Instant Win prizes:
Note: Instant Win prizes take priority over prizes by Probability. This means that if there is a prize unit available by Instant Win, it will always be allocated and the wheel will stop on the segment of the Instant Win prize.
3. What is the user experience like?
In order to participate, the user must access the promotion through the link that the organizer will have provided. Upon accessing, the user will experience the following flow of participation screens:
1. Welcome Page. It is the first page that the user reaches when opening the promotion link, where they will find the button to start participating.
2. Login System. Next, the user must identify himself with his email, with his Google account or with his Facebook profile. If it is the first time that the user participates, the first step will be to complete the registration form and accept the legal bases and the privacy policy. Upon completing the registration, the participant's session is automatically generated to participate.
3. Prize Wheel. Once logged in and completed the form, the user can spin the prize wheel to try their luck. In case of being a winner, the name of the prize the user has won will appear on the screen.
4. Final page. After playing the wheel, the user will access the final page, where a “thank you” message is displayed, as well as the tools to share the promotion. On this screen the user will also be able to see the number of attempts he has left to play the wheel.
4. Create the Spin the Wheel
Here we explain all the steps to create your Spin the Wheel promotion.
1. Access the Easypromos Dashboard. Log in with your email address and password to manage and create your promotions.
2. Click the ‘Create new promotion’ button to start setting it up.
3. You'll see a list of available products. Choose "Spin the Wheel" in the "Games" column:
4. As a next step, set up the following options:
- Organizing brand. As a first step, you should select or create an organizing brand for your promotion. This organizing brand is independent of any social network and works as a folder within your Easypromos account, in order to help organize the promotions that you create.
- Template version. Select which template you want to use to create your promotion: Premium or White Label.
5. After clicking on "Continue" button, you'll get access to the promotion management page. This is where all the options for configuring the promotion are laid out. The most important sections are outlined below:
- Header. This displays the title of the promotion, the platform you have chosen, and other relevant information such as the promotion ID. You'll also see your Promotion status in the small orange box. This indicates whether your promotion is Active, Draft or Old, as well as if it’s about to start. Once the promotion period has ended, this field will be marked in red, and you'll be able to decide how the expired link to the promotion will appear.
- Link to the promotion. This is the URL that you should use for sharing and publicizing the promotion. (You can learn more about URLs for sharing here.) You'll also see the Copy link button. This automatically copies the URL for you to share.
- Activate Promotion button. When the promotion is ready to launch, click this button to activate it. You'll be taken to the activation page, where you can review your billing information before making the payment for the promotion.
- Test mode. This tool will allow you to carry out a real test of the promotion before activating it, in order to participate in it as users will when it is activated and thus be able to check that the promotion works as expected before launching it. More information.
- Side menu. All your promotion settings in one place.
- View tutorial. This tutorial guides you through creating and managing your promotion, step by step.
- Here you will find the following configuration options:
- Set the date and timezone for the promotion.
- You can set and change the default languages of the promotion.
- Finally, you can limit participation to one or more countries with the localization tool.

Note: The promotion ID number is a unique identifier for each promotion. If you have any issues, use the promotion ID when you contact the Easypromos support team. This will make it easier for us to help you out.
5. Create the Spin the Wheel prizes
The Spin the Wheel affects two different types of prizes:
- "By probability" prizes.
- "By Instant Win" prizes.
1. How to create "By probability" prizes
From the Editor > General> Prizes section you can create the "By Probability" prizes:
Click on the pencil icon to edit the properties of the prizes. Below you will find all the following configuration tabs:
A. "Go to Spin the Wheel" tab: This takes you to the "Participation" page where you'll be able to set up and customize the features of the wheel. The Spin the Wheel configuration and customization options are explained in Step 7 of this tutorial.
B. “Options tab”: In this tab you’ll find all the options to set up the properties of the prize:
1. Name of the prize. This is the name you gave the prize when creating it, you can change it now if you want.
2. Short description. this is the description of the prize you defined when creating it, you can change it now if you want.
3. Number of units. This number indicates the number of units you plan to give for this prize.
4. Do you want this prize to be a promotional code?: This option allows you to convert the prize in a promotional code that the users will obtain automatically when participating in the promotion. A promotional code is an alphanumeric code that can be the same for all users or a different one for each user that wins. For the prize to be a promotional code, you should associate the prize to a codeset. A codeset is a set of alphanumeric codes that the administrator of the promotion uploads to the promotion. The prizes use the codesets to know which code to assign and in which order. Additionally, you have the option to choose to show the assigned code together with a barcode or a QR code. Please refer to the Promotional Codes tutorial to know all the possibilities.
5. Does this prize have downloadable content?: This option allows you to give content that the users can download as a prize. By marking this option, in the winner pop-up the options “Download” and “Send by email” will be added. This content can be a document (PDF, Word, TXT), an audio file or and image file. If you choose this option, you can upload the file that the users can download (max. 10MB), or point to the external source of the file or mark the option that Easypromos should generate a PDF with the characteristics of the prize.
6. "Hide prize from the wheel" option: This option appears only when the available units of a prize have been used up and allows you to hide this prize from Wheel.
Note: If you hide a prize from the wheel, you won’t be able to show it later. If you continue, you'll need to edit the wheel and check the prize probabilities and the segments order.
C. “Message to winner” tab: This section presents all the options to personalize the design and the way the message to prizewinners is displayed. In particular, you’ll be able to set up the following option.
D. "Delivery conditions" tab: By default the prize is assigned to all users. From this tab you can create a condition so that the wheel prize begins to be given from a specific date. The prize will be displayed on the Wheel during the entire promotion but will not be assigned until the date defined in the condition is reached.
Note: You cannot define a date for each award unit. The condition applies to all award units.
2. How to assign the odds of Probability prizes
Once the prize has been created, from the Editor > Pages > Participation > Spin the wheel section, you will be able to define the probabilities that each of the prizes are assigned.
Note: The odds manager calculates over 1,000 instead of over 100 in order to define a more exact probability.
3. How to create "By Instant Win" prizes
From the Editor > General> Prizes section you can create the "By Instant win" prizes:
Click on the pencil icon to edit the properties of the prizes. Below you will find all the following configuration tabs:
A. “Options tab”: In this tab you’ll find all the options to set up the properties of the prize:

4. How to schedule the date and time allocation of Instant win prizes
Once the prize has been created, from the Editor > Tools > Instant win section, you can define the date and time assignment of each of the Instant win prizes.
First of all, you must enable the Instant win tool:
Next, the instant win management tool will appear, which will allow you to program the date and time of allocation of each of the Instant win prizes:

6. Customize the design of the Wheel
Now you can set up and configure the Prize Wheel and change the settings. To do so, follow these steps:
1. Access the Editor> Pages> Participation where the participation mechanic has been automatically created. As a first step, click on the pencil icon to configure the participation settings:
Then you will find the following configuration tabs:
1. Options: It contains the general options of the stage. From this section, you can configure the number of times that users can spin the wheel, as well as the frequency of participation.
Here you can only set up that a user can only win one prize. This way, once a user has won a prize, they won't be able to participate again in the promotion.
2. Requirements: Optionally, before spinning the wheel the promotion may present Requirements as a complement to the user's participation, which are additional actions that the users need to carry out mandatorily before being able to participate. It’s possible to establish one of the following types of requirements:
- Validate a code: The user needs to enter a valid code to be able to access the participation mechanic.
- Watch a video: The user needs to watch a YouTube video until the end to access the participation mechanic.
3. Spin the Wheel settings. In this tab you will find all the options to customize and set up the Wheel.
Here you'll see all the options to set up the Prize Wheel.
1. Wheel segments: Here you can modify the number of segments that you want the wheel to present. You can have up to 30 segments displayed on your wheel. The names of the prizes will be shown on the segments. In addition, you can decide if you want to enable "no prize" segments, which allows to make the game more exciting by adding segments without prizes (use this option if you don't want all users to be able to win a prize). Finally, you can also modify the order of the prizes within the wheel.
2. Wheel layout options: From here you can customize the wheel design by configuring the following options:
- Background image. Upload a special background image for the prize wheel page.
- Logo. Upload the logo of your brand, company or product for even more customization.
- IU color. Here you can change the color of the wheel and the spin button.
- Spin button. Here you can change the text on the button that makes the wheel spin.
- Font size: This option allows you to reduce or enlarge the font size of the prize segments.
3. "Prizes in the wheel" section: here you can change the colors of the prize segments. When you click on the pencil icon, you will see the option to customize the color of the segment:
Note: The name of the prize segments cannot be changed as it is determined by the name of the prize itself configured in the Editor > General > Prizes section.
For the "No prize" segments you have the possibility to edit the color and name of the segment that will appear in the wheel.
Additionally, you also have the possibility of uploading an image for the prize segments:
A template is provided in PNG format that you can use as a guide with your image editing program to ensure that the design of the box fits and fits. perfectly visualized in the wheel.
Finally, you can test the prize wheel to see if it works and looks like you want it to, before activating the promotion. In the image of the wheel on the right side of there the settings are, you can see the changes you’re making as you go along, and you can click to test the wheel.
7. Participant registration system
In order to participate in the Spin the Wheel, participants must identify themselves with their email, with their Google account or with their Facebook profile. If this is the first time that the user participates, the first step will be to complete the registration form, which must be filled in with the data configured by the administrator.
To do this, go to the Editor > Pages > Registration Form, to customize the fields that you want to ask users to be able to participate:

8. Customize the design and finish the settings
Once you have configured the Spin the Wheel the next step is to finish the configuration of the other options of the promotion, such as customizing the design template with your own colors and texts, introducing the legal bases, the viral content settings, etc. Check the tutorial to finish the configuration and customization of your promotion.
9. How to set up a Spin the Wheel promotion for user participation at a physical event (trade fair, congress, or shopping mall)
The Easypromos platform is prepared so that the promotions can be used in very different actions, among these at in-person events such as trade fairs, congresses, or even in shopping malls where the organizer wants to create a promotional action, such as a prize wheel, which users can play to win discounts, offers and prizes.
The way to present these actions is usually with a tablet or mobile device with an Internet connection, which will be used to register all the participants who will visit your booth/shop and spin your promotional wheel.
However, due to its specific characteristics, the spin the wheel promotion has a default configuration that can make it difficult for multiple users to participate from the same device, so some adjustments will have to be made in the promotion to ensure that everyone can participate in the wheel.
We explain below the changes you will have to make. Apart from the general configuration of the promotion, you should look at the following sections and customize the application with these options in the "Editor":
1. Identification: The Spin the wheel promotion requires the User Login system to always be enabled. In the same way, the wheel always presents the registration form, where the fields "Name", "Surname" and "Email" are always mandatory. Both the Login system and the Registration Form cannot be removed from the promotion.
However, it is probable that throughout the event, you will have a host or person who will be in charge of helping visitors who want to spin the Wheel and who will manage the delivery of the prizes to the winners live, so you might not be interested in users having to identify themselves or fill in the registration form in order to play. In this case, how is user participation managed?
In this case, as administrators, the person in charge of managing participation/prizes will log in to the promotion with an email - for example, the company's email -, fill in the registration form with their data, and keep the session linked to this email open at all times. Thus, each time a new visitor participates, the session will remain open and will allow them to participate without asking for their registration data.
Note: With this configuration, you will not obtain the visitor's registration data, but if a host is planned at the fair, congress or shopping center, this person can help visitors to participate in the promotion and, at the same time, manage the delivery of the prizes to the attendees.
2. Set a high number of participations: As all visitors will participate within the same session, the system will consider that it is the same user, so you will need to enable a very high number of participations so that there is no limit on the number of users that can participate.
To do this, you would access the Editor of your Wheel promotion > Pages > Participation > Options and in the option "How many participations do you want to give?" indicate a quite high number (for example 10,000 even if your expectations are around 5,000 visitors to your booth) and in the option "How often?" select "In total".
In this way, you will ensure that everyone will be able to spin the wheel and no user is deprived of participating in your promotion.
3. Disable Anti-fraud options: Access the Editor of the Wheel > Pages > Registration form > Security options and in the "Anti-fraud options" section, make sure that the 'Max. Browser / IP participation' is at 0 and that the option of 'Participation frequency from the same IP' is disabled. This will allow all your users to access the wheel from your device.
