Tutorial: How to distribute prize inventory by location Follow
The location-based prize inventory system allows the stock of the same prize to be distributed among the different participating locations of a promotion. This way, each establishment has a specific number of units available, and the system ensures that more prizes are never awarded than those assigned to each location.
The administrator configures a single prize and can distribute its inventory among the different locations, modify the distribution during the promotion, and check at any time the units assigned, awarded, and available at each establishment.
Important: This functionality is used together with the location-based participation requirement, ensuring that prizes are assigned according to the location from which the user participates.
These are the contents of this tutorial:
1. Setting up and distributing prizes by location
1.1 Creating locations
To start configuring your prizes and define the location or locations where their units will be distributed, the first step is to create and customize all the valid locations for the promotion. These are all the stores, points of sale, events, or physical locations where users will be able to validate their geolocation to participate and receive prizes.

1.2 Creating and assigning prizes by location
Once you have created the promotion's Locations, the next step is to create the prize or prizes that will be awarded to users. You can create all your prizes from the "Prize Inventory" section of the editor.
Click here for more information on how to create your promotion prizes.
Once you have created all the prizes to be awarded, go to Locations > under the Location inventory tab to enable prize inventory management based on the locations where the prizes will be distributed.
All the promotion's prizes and valid locations will be displayed so you can distribute the prizes using either of the following methods:
-
Automatic distribution: The system will automatically divide the units of the selected prize or prizes and distribute them as evenly as possible across all locations. This option is useful for distributing prizes fairly among users participating from the different promotion locations.
-
Manual distribution: Allows you to manually assign the desired number of units of one or more prizes to a specific location. This option is useful if one or more prizes will only be awarded to users participating from a particular location. For example: assign a "Dinner for two in Rotterdam" prize exclusively to the brand's Rotterdam location(s).
2. Frequently Asked Questions
Can I move prizes from one location to another?
Yes, you can move prizes from one location to another as long as they have not been assigned to any user. In other words, while the prizes are still available, you can manually modify the distribution of prize units.
In the following video, you can see an example of how to move all the units of a prize from one location to another:
What happens if all the units of a prize are depleted at a specific location?
If prizes run out at one or more locations, users who participate from those physical locations will still be able to enter the promotion, but they will always have a non-winner experience, meaning they will never be assigned a prize.
If prizes are likely to run out before the end of the campaign at one or more locations, we recommend configuring a custom message that users will see after completing their participation and reaching the promotion's final page. You can customize this message from the Editor > Pages: Final > "Non-winner Message" tab, making sure that the "Do you want to configure a non-winner message?" checkbox is enabled.
Below you can see an example of the non-winner experience in a prize wheel promotion:
While the promotion is active, can I add more prize units and distribute them across one or more locations?
Yes, you can edit unassigned prizes, add new units, and distribute them freely across the different locations. To do this, first access the Prize Inventory and edit the number of prize units to increase and update the total number of prizes you want to award.
In a second step, distribute the prizes by location by going to Locations > under the Location Inventory tab. There, you can automatically assign the new units of one or more prizes evenly across the selected locations (Point 1 of the screenshot below), or manage the distribution manually, for example, if you want to allocate all the additional units to customers at a single store (2).
