1. Overview
The loyalty card with stamps is commonly used by brands that have physical stores as a tool to encourage purchases and reward customer loyalty. Customers receive a stamp on the card each time they make a purchase, and after accumulating a certain number of stamps, the customer receives a benefit or reward, which can be a discount, a gift, a free product, etc.
Thus, not only is the purchase incentivized, but customers will also see their loyalty rewarded with the possibility of winning prizes.
How does the "Stamp Card" application work?
With the "Stamp Card" application, you can quickly and easily create a digital stamp card to reward your customers' loyalty and encourage repeat purchases at your stores. Here's how the participation process works:
- After making the first purchase at a store, the customer must access the promotion microsite with their mobile device to register, and the system will automatically generate their stamp card.
- Each time they make a new purchase, they can register it to get a new stamp. As an administrator, you can configure the purchase registration method, whether by uploading a purchase receipt, entering a unique code, or scanning a QR code shown by the seller.
- With each new validation, the system will stamp one or more stamps, depending on the validation method and the specific promotion configuration.
- You can give prizes to users instantly, either when completing the card or when reaching a specific number of stamps, according to your promotion's configuration.
- Additionally, you can configure the system to automatically generate a new card upon completing one, without the customer needing to register for the promotion again.
The "Stamp Card" application allows you to:
- Completely customize the stamp card design. You can upload a background image with your own graphics to create a card aligned with your brand or business's style and design.
- Configure the number of card stamps and stamps users need to get a prize. You can set the maximum number of stamps on the card (up to a maximum of 20) and link specific prizes based on the number of stamps obtained by the user.
- Create and manage different prizes. You can create prizes that will be given instantly upon completing all the stamps on the card or upon reaching a minimum number of stamped boxes. The prize will be displayed on the screen immediately when the user achieves the predetermined number of stamps.
- Select the purchase registration method. You can configure how you want to verify the purchases made by your customers: by uploading a purchase receipt, scanning a QR code, entering a unique code, or through manual review.
- Register participant information: You can configure a registration form that will be displayed the first time a user accesses the registration card. It will allow you to capture user data, obtain their legal consent for the promotion and data usage, and synchronize the data with your CRM or marketing platform.
- Send emails to participants. You can configure automated emails from the platform to encourage purchases. Use it to remind customers of how many stamps they have, when the promotion ends, or how many stamps they need to get a prize. Additionally, the user will always have access to their card information to see the boxes they have yet to stamp.
- Prevent fraud. The Easypromos anti-fraud system provides various mechanisms to ensure that each purchase is only registered once to update the card with a new stamp.
- Redeem prizes securely and efficiently: Users will earn prizes upon completing their cards. You will have a tool for users to return to the store, present proof that they have won a prize to redeem it, and the seller can verify it securely.
- Includes all the advantages offered by Easypromos: user identification method configuration, total customization of the registration form, advanced user and statistics management, integrated email platform, and much, much more.
2. Create the promotion
Below, we explain all the steps to create your Stamp Card.
1. Access your Easypromos dashboard by logging in with your email and password to manage and create your promotions.
2. Next, click on the "Create new promotion" button to start creating your promotion.
3. Available products will be presented to you. Select "Stamp Card" under the "Instant prizes" category:
Following these steps will create a draft of the Stamp Card in your account. This draft comes with a series of pre-configured options to facilitate the campaign creation process, but all images and text are completely customizable, as well as, of course, the card customization, prize configuration, etc. So, we will now explain all the steps you need to follow to configure your Stamp Card and complete the setup without missing any steps.
3. Configure and customize the stamp card
In the Promotion Editor, you have several tools to customize the card with your own images, colors, and elements. You can customize both the card background and the design of each stamp, customize the colors used, etc.
Below are all the options available for creating a stamp card fully adapted to your brand's design.
To do this, go to the Editor Pages Participation section and click on the "Stamp Card" stage:
Next, you will find the following customization options.
Step 1. Generic stamp configuration
First, you will find generic options to customize the stamps on your card, through the following configuration options:
- Number of stamps per card: You can specify the number of stamps the card will have, up to a maximum of 20.
-
Stamp distribution: Allows you to configure how the stamps are presented on the card, being able to choose between two modalities:
- Uniform.
- Honeycomb.
-
Stamp shape, with options to choose from:
- Square.
- Circle.
- Show stamp position numbers: Allows each stamp to include its position number on the card:
- Unstamped image/color: Allows you to upload an image that will be shown in the unstamped boxes of the card. Alternatively, you can customize the box with a color.
- Stamped image/color: Allows you to upload the image that will be shown in the stamped boxes. Alternatively, you can customize the box with a color.
Step 2. Individual stamp customization
From this section, you can customize the design of a stamp in a specific position on the card.
Example: If you offer a 20% discount when the user has made four purchases, you can upload a stamp image that represents this reward in position number 4 of the card. If, in addition, you offer a free product when completing the stamp card, you can upload a specific stamp image for the last position of the card.
To customize the position of the stamps individually, you will need to click on the blue button:
Next, you will be presented with different customization options. First, you must select which stamp you want to customize by choosing its position on the card. Then, you can upload the unstamped image and the stamped image for this position:
You can customize the design of as many stamps as you want, depending on the rewards users can get with the stamp card.
Customizing stamps individually is closely related to the rewards, discounts, or gifts you want to give to customers when they achieve a certain number of stamps on their stamp card. To do this, once you have configured the stamp designs according to their position on the card, the next step will be to create the rewards, following the steps of point 4 of this tutorial.
Step 3. Card background
The last step is to customize the design of the card itself. To do this, you can upload a background image for your stamp card, which must be sized 720×1160px.
Tip: When designing the background image, first configure the number of stamps the card will have, as well as their distribution, to take into account the space occupied by the stamps on the card. This way, if you want to place graphic elements in the background image, such as text or a logo, you will ensure that they are not covered by the stamps.
For this, you have the right area of the screen where you can preview the design of the card. Use the options located at the top of the screen to adjust the design of the background image, allowing you to show or hide the stamps, move their position on the card, and show or hide the "Continue" button, which will appear to the user on top of the card after marking each stamp to be able to finish participation.
4. Create the card prizes
The next step is to create the prizes you want to give to users as a reward after validating their purchases. You can configure the prizes to be given automatically when a user has stamped all the boxes on the card or when reaching a minimum number of stamps, depending on the characteristics of your campaign. The prize will appear to the user in the form of a window after achieving the minimum number of stamps, with all the information about the prize and instructions on how to redeem it.
To create the prizes, you must follow the steps below.
1. Go to the Editor Prizes Prize Inventory section, and click on the "Create new prize" button.
2. A window will open with the different types of prizes you can create, choose "Upon participation":
3. Next, a new window will open where you can configure the basic information of the prize:
4. Once the prize is created, the next important step is to configure when it will be given, that is, the minimum number of boxes that users must stamp to obtain it. To do this, in the prize configuration options, go to the "Delivery Conditions" tab and here you must apply the condition based on the number of stamps obtained.
Example: If you give a prize when obtaining 4 stamps, you must apply the condition Stamp number> Equal to 4. This way, the system will assign this prize to users after stamping 4 boxes on the card.
5. Repeat the same steps to create all the prizes you want to give on your stamp card, always configuring in the "Delivery Conditions" tab the minimum number of stamps that users must obtain to qualify for the prize.
Tip! Remember that you can combine the Stamp Card application with the dynamics of distributing coupons and codes from Easypromos, so you can give a promotional code or discount coupon to users after completing the stamp card, for example, which the customer can securely redeem in your establishments through Easypromos' Prize Redemption system. More information.
5. How to register purchases
In order to obtain a new stamp on their loyalty card, the customer must register the purchase they made at the establishment, securely and without fraud. To do this, Easypromos provides different methods of purchase registration depending on the needs of each campaign that adapts to the characteristics of each business.
The three validation methods are configured from the "Requirements" tab, within the participation configuration section:
We will now explain what each form of purchase registration consists of.
5.1. By code
After making a purchase, the customer receives a receipt with a unique promotional code.
IDEA! Consumer brands print the code on the product packaging itself or even inside the product. Examples: code under the cap of a beverage, code inside a bag of chips.
This code must be entered on the Promotion Requirement screen. The system will immediately verify if the code is valid, and after validation, the system will automatically stamp one stamp on the card.
This option involves distributing a unique code to customers in advance after each purchase. The promotion administrator must upload the list of codes to a "set of codes" so that the system can instantly verify if the code entered by the user is valid.
Experience this type of validation in this DEMO.
5.2. By purchase receipt
After making a purchase of a minimum amount, the customer must upload a photo of the purchase receipt. In this case, the system uses Optical Character Recognition (OCR) technology to verify that the purchase receipt meets a series of requirements before validating the purchase and stamping the stamp for the user.
Furthermore, you can configure the number of stamps that the user will receive based on the purchase amount. To do this, you can use the "Minimum amount" feature, where you can specify the minimum amount for a stamp. Example: You can indicate that for every 10€ spent, a stamp has to be marked on the stamp card. So if you upload a 40€ receipt, the system will mark 4 stamps. If you upload a €35 receipt, the system will mark 3 stamps on the card.
Step-by-step instructions on how to configure the "Upload purchase receipt" Requirement and how OCR technology automatic verification of receipts works.

5.3. By QR code displayed in the store
Another way to validate the box can be scanning a QR code. How does it work? In this case, after making the purchase at the store, the seller shows the customer a QR code. By scanning the QR code with a mobile phone, the customer is directed to the Stamp Card microsite, where after registering and identifying themselves, the system will automatically stamp a new stamp on the card.
The seller has two ways to display the QR code:
- QR code printed on paper [Not recommended]: it will be the same code for everyone which loses security, but it's an easy and quick solution.
- QR code that regenerates with each scan [Recommended]: the seller will display the QR on a mobile phone or tablet, through a web tool called Vendor Portal. The QR code regenerates with each scan, so duplicate purchases cannot be registered, and 100% fraud is avoided.
Learn here how the QR code scan requirement works and the vendor portal.

6. Maximum number of purchase registrations vs. number of stamps
It is possible to configure the maximum number of purchase registrations allowed for a user for a card. This number works independently of the number of stamps on the card. This allows greater flexibility in campaign configuration, which we explain below.
Regarding the number of purchases that a user can register in the promotion, these two parameters can be configured:
- The maximum number of allowed purchases to register.
- The allowed registration frequency, which can be:
- Maximum number of registrations per day
- Maximum number of registrations per week
- Maximum number of registrations per hour
- No frequency limit
We recommend that the maximum number of allowed purchases be a number equal to or multiple of the number of stamps on the card.
We explain with examples, some of the common scenarios for configuring the digital stamp card.
Example 1: I want users to make only one 5-stamp card.
- Configuration: The number of stamps on the card will be 5, and the maximum number of purchases will also be 5.
Example 2: While the promotion date is open, users can complete as many 5-stamp cards as they want.
- Configuration: The number of stamps on the card will be 5, and no maximum number of purchases will be set. This way, when a user completes a 5-stamp card, they will win the prize and start a new empty 5-stamp card.
Example 3: Users can complete up to 3 5-stamp cards.
- Configuration: The number of stamps on the card will be 5, and the maximum number of purchases will be 15.
Example 4: Users can complete only one 5-stamp card, but can only register one purchase per day.
- Configuration: The number of stamps on the card will be 5, and the maximum number of purchases to register will be 5 with a registration frequency of 1 per day.
The maximum number of purchases to register and the registration frequency are configured from the participation frequency options of the stage, as shown in the following screenshot:
7. Participant registration system
Users must identify themselves and register to participate in the Stamp Card. The Stamp Card uses the Easypromos Login system, which allows the organizer to select which methods users are given to identify themselves: email, mobile number, or their Facebook, Linkedin, Google, Twitch account. If it's the first time a user identifies themselves in the contest, the user must also complete the registration form and accept the legal terms and privacy policy of the promotion. The form is 100% customizable.
To configure which Login system you want to enable in the promotion, go to the Editor > Pages > Login and Registration > Login, where you can configure how you want users to identify themselves to participate in the promotion. Discover here the different types of Login and all configuration options:
Note: Easypromos allows SSO integration with external user authentication systems. Contact us for more information.
If it's the first time the user participates, the first step will be to complete the registration form, which they must fill out with the data configured by the administrator.
To configure the fields of the registration form, go to the Editor > Pages > Login and Registration > Registration, and click on the "Add element" button to add the fields you want to ask users to participate:
8. Closure management of a card
A card will be considered closed when a user cannot earn more stamps for a card, or in other words, when the user cannot register new purchases.
A card will be closed when one of these 3 situations is reached:
- The user cannot register more purchases because they have reached the maximum number of purchases that can be registered.
- The end date of the promotion has been reached.
- The user has already won a prize and the promotion has been configured so that the user can only win one prize.
9. Sending emails to participants
With the email platform included in the promotion, you can establish periodic and automated communication with customers who use your stamp card.
Below are some examples of emails you can create:
- Send an email to all participants to thank them for their participation.
- Send an email to a group of participants using multiple filter options (for example, participants who have not yet stamped all the boxes on the card).
- Schedule sending an email to all participants on a specific date and time (for example, to remind users when the promotion ends).
- Send prize information when the card is completed.
In all these communications, you can include in the body of the email the smart tag {{stamp_card_link}}, which translates into a link that will allow users to open their stamp card, allowing them to always have it handy if they want to check it.
Check out the different email sending options you can automate with the Email Platform.
10. Customize the design and finish the setup
Once you have configured the promotion, the next step is to finish setting up the other promotion options, such as customizing the design template with your own colors and texts, entering the legal terms, configuring viral content, etc.
Check out the tutorial to finish setting up and customizing your promotion.
11. User Management and Statistics Retrieval
Once the promotion is finished, you will have different tools as an administrator for managing users and their participations. Below we detail the tools available to you.
11.1. User Management
From the "Users" section, you will have access at all times to the list of participating users, where you can perform the following actions:
- View unique participants in the contest.
- View total contest entries.
- Use participant management tools: delete users, filter participants according to different criteria (registration data, number of entries, awarded prizes, etc.).
- Export listings to Excel/CSV with information about registered users.
Additionally, it is possible to check the status of each participant's stamp card in the promotion, so you can see the number of stamps on each user's card, as well as the number of completed cards:
Check in detail all participant management options available to you.
11.2. Consult the Promotion Statistics
In addition, from the "Statistics" section, you can obtain detailed information about the activity of users who have participated in the promotion (number of registrations per day/hour, device used, etc.), as well as data on different participations (entries per day/hour, device used, etc.).
Check all statistics you can obtain from the promotion to analyze the performance of your contest.
