Participation flow of a promotion Follow
The present tutorial presents and explains the different participation flows that the administrator can configure depending on the characteristics and needs of the promotion.
There are three different participation flows: Identified Mode, where the user must identify and register before being able to participate; Visitor Mode, where the user participates first and then logs in and registers; and finally the Anonymous Mode, where the users participate without identifying themselves or registering. The choice of one modality or another will determine how the user's participation and experience in the promotion will be.

1. Introduction
The participation flow is the sequence of the different processes and pages that users follow when they visit a promotion and complete their participation.
The user participation flow is composed of two main processes:
- The user identification and registration process
- The participation process
We call the user identification and registration process the mechanism that users go through to identify themselves in the promotion. An example of the identification and registration process consists of a form where the user registers with their personal data and accepts the Terms and Conditions and privacy policy of the promotion.
We call the participation process the action or actions that the user must perform to complete their participation. Some examples of participation mechanics are: playing a game, spinning a prize wheel, inserting a code, filling out a survey, or even simply clicking a button.
Different promotions with the same mechanics can have different participation flows, depending on when you request users to identify themselves.
For instance:
- A user must login and register with their personal data before spinning the wheel.
- A user first spins the wheel anonymously and if they win a prize, they then register with the required personal data.
- A user spins the wheel and nothing else, because the promotion does not require the users' personal data for the delivery of the prize, or you simply already have the necessary information.
In this example, for the same type of participation mechanism - spinning the wheel - we find up to 3 different flows that depend on when we want the users to identify and share their data with us. As we see, sometimes we will not be interested in gathering data from users. All these options are valid, and the flow that you pick will depend on each promotion: its objectives, the prizes to be distributed, who it is aimed at, etc.
Easypromos allows you to configure different participation flows for the same mechanism. From the editor of the promotion, you can enable the identification and registration process and configure when it applies: before or after the participation mechanism.
In this tutorial we present the 3 available participation flows, as well as a description of the different pages that make up each flow.
2. Participation flow types
There are 3 participation flows that depend on when the user information is registered.
- Identified Mode: Identification and registration is done before participating.
- Visitor Mode: Users identify and register after participating.
- Anonymous Mode: Participation only, users do not register.
Below you will see the page layout of each participation flow. Please read carefully the following considerations before picking a specific flow for your promotion(s).
2.1. Previous considerations:
- You can change the participation flow as many times as you want while the promotion is in draft or test mode. Once the promotion has been activated, the flow of participation can no longer be edited.
- The following applications only offer Identified Mode and do not allow participation in Visitor Mode or Anonymous Mode:
- Promotions included on the "Multi-stage" category:
- Advent Calendar.
- Multi-Game.
- Digital Coupon Book.
- Tournament Bracket.
- Multi-Round Predictions.
- The applications listed below, which are inclued on the "Contests" category:
- Voting contest.
- Photo Contest.
- Video Contest.
- Photofun.
- Scenes.
- Promotions included on the "Multi-stage" category:
- In the visitor mode and anonymous mode it is not possible to enable the Ranking of participants in the games.
- The limit of 50,000 and 10,000 participants in a White Label or Premium promotion respectively is maintained and is the sum of registered users + unidentified visiting users.
2.2. Identified mode: Identification and registration prior to the participation
This is the option that comes by default when creating the promotion. With this flow, users must identify themselves and register to be able to continue and participate in the promotion.
In this case, the participation flow will be as follows:
- When accessing the promotion for the first time, the user will access the Welcome page, and when clicking on the main button to start participating, the next page they will see will be the identification page, where they will be asked to identify themselves with one of the login methods defined by the administrator when creating the promotion.
- Once logged in, if it is the first time that the user participates, then they will access the registration form page, which they must fill in with all the information requested by the administrator.
- Once the registration form is completed, the user will access the participation page itself.
Example: if the promotion is a Prize Wheel, this page will present the Wheel which the users will spin to try their luck.
Note: If the promotion allows multiple participations, after registering for the first time through the registration form, when accessing the promotion again, users will only have to login. From here, they will be taken directly to the participation page.
2.3. Visitor mode: Identification and Registration done after participating
With this flow, users who visit the promotion can participate without registering first. At the end of their participation, they must register to enter a giveaway or receive a coupon or prize.
Thus, the user will participate in the promotion without being identified or registered, so they will participate as a "visitor". Once the participation is complete, the user can register. In case of having won a prize (for example, an Instant Win, or a prize assigned in a Prize Wheel), the prize is "reserved" for this visiting user, who will have 15 minutes to identify and register in the promotion, as a necessary and mandatory step to claim the prize. If after this time the visiting user did not complete the registration in the promotion, the user will lose the prize, which will be freed and available again, and the visitor cannot claim it anymore.
In this case, the participation flow will be as follows:
- When accessing the promotion for the first time, the user will access the Welcome page, and when clicking on the main button to start participating, the next page they will see will be the promotion participation page (example: page with Prize Wheel).
- Once the participation is completed, the user will access the identification and registration page, which they must fill in with the information requested by the organiser of the promotion.
Note: If users won a prize, they will have 15 minutes to claim it. To do so, they will need to identify themselves and register through the registration form.
Example: A Prize Wheel is organised where users can spin the wheel in "visitor" mode. If they receive one of the prizes on the wheel, they will be given the possibility to claim it by logging in and registering via the registration form.
- Finally, users access the final page that will confirm their registration in the promotion, and in case they have received a prize, details of said prize will be displayed in this page.
When is this participation system recommended?
- When we want to attract the maximum number of participants with an eased and anonymous participation, and the collection of registration data works as an incentive for the user, who will be required to register in exchange for entering a raffle or to be able to claim a prize.
- When we organise a gamification dynamic on our website to offer entertainment to visitors. The users will be able to play anonymously, as visitors, and will be offered to register only if they have won a prize, in order to confirm and claim it.
2.4. Anonymous mode: Participation only, no users registration
With this option, users who visit the promotion will be able to participate anonymously and unlimited times. They will not be required to register.
In this case, the participation flow will be as follows:
- When accessing the promotion, the user will land on the Welcome page, and when clicking on the main button to start participating, the next page that they will see is the participation page of the promotion (example: users access the wheel page to spin it).
- Once the participation is completed, users will directly access the final page, and in case they have received a prize, the details of said prize will be displayed on this page.
When is this participation system recommended?
This is the recommended option if you do not need to collect user data and do not need security controls on participations, such as in the following situations:
- When we want to share games and promotions with our user community with the main objective being to offer entertainment. To encourage engagement, we can decide to skip the collection of users data, which would not be necessary in this case.
- When we organise a campaign that will take place in a physical event, and we do not need data registration. For instance, presenting a Prize Wheel in person at a fair. In this case, visitors of the event will spin the wheel while visiting the company stand, without registration, and in the event of winning a prize, the person in charge of the booth will be in charge of managing the delivery of the prize in real time. In this case, data logging is not necessary either.
- When we need user data to be collected outside of Easypromos. In this case, users will participate anonymously, and from the final page you can redirect them to an external registration form hosted on the client's system.
3. Description of the main pages
Below we detail the different pages that users will find when participating in a promotion.
3.1. Welcome page

Además, en el caso de los Juegos, en esta página se muestra el botón de acceso a la página del Ranking de participantes.
The Welcome page is the first page that the user reaches when clicking on the promotion link. Although it is an optional page, it is recommended to enable it because it allows you to present the campaign and give previous information about the promotion, as well as to show the participation access button. In addition, in Games with a leaderboard enabled, this page shows the button to access the Participant Ranking page.
3.2. Identification and Registration
The identification and registration process consists of two processes:
- The identification process: Its goal is the unique identification of the user.
- The registration process: It applies when a user identifies for the first time in the promotion. Its goal is to register the user's data and consent to the legal terms, privacy policy, and other legal texts.
Identification and Registration on One or Two Pages
These two processes can be presented on a single page or on two pages. By default, they are presented on two pages because this is the recommended option. Below, we explain the characteristics of each case:
1. Presentation on Two Pages:
First, the identification screen is presented with different login methods. If it is the user's first time identifying in the promotion, they will then be redirected to the second screen, which is the registration form. If the user has previously identified, they will be redirected directly to the participation process without needing to register again.
We recommend using two screens when:
- You want to offer multiple identification methods to the user.
- It is a recurring promotion, meaning users can return on different days to access the promotion. For example, a weekly pool.
2. Presenting Identification and Registration on a Single Page:
Only the registration form is presented. The Email field in the form is mandatory and will be used to uniquely identify the user. Users can only participate once.
We recommend using a single screen when:
- Users only participate once. For example, registering to enter a giveaway.
- When the participation flow is Visitors Mode, meaning users play first and then register.
Note: For promotions with multiple participation stages and multiple participations, it is mandatory to present identification and registration on two separate screens.
Login methods
In the event that a user wants to participate and does not already have an open session in the contest, the system will ask them to identify themselves. The current identification options are:
- Facebook Login: The user identifies him/herself with a personal Facebook account. Upon identification, the user must authorise a Facebook application and accept its permissions, to catch the user's full name and email address. Only the email information is requested as permission. For Premium promotions, the Facebook Login will work with Easypromos own application. For promotion created in the White Label version, the client can configure its own Facebook application for the Login.
- Google Login: The user is identified with a Google account. Upon identification, the user must authorise a Google application, and accept its permissions. Currently the client can only configure their own Google App to login in the White Label version.
- LinkedIn Login: Users identify themselves connecting via their LinkedIn account. Upon identification, the user will be required to authorise a LinkedIn application and accept its permissions. If you enable Login with LinkedIn and expect more than 10,000 users from this social network, please contact us.

Email: Users simply identify themselves with their email address. We strongly recommend you to enable the "Validate email" option: In this case, after identifying themselves, users will receive an email with their own direct access link to participation. In this way, you are guaranteed that the email entered is valid, and that the participating user is its owner. You can also apply restrictions that are:
- By a closed list of domains.
- By a closed list of emails.
- By being a subscriber to a Mailchimp list.
- Validation through an external Webservice.
- Twitch: Users identify with their Twitch account.
- Tik Tok: Users identify with their Tik Tok account.

Customer number: It allows the user to identify himself with a personalized code. The validation of the code entered by the user can be done with three different methods:
- By a regular expression.
- By a codeset.
- By the Luhn algorithm.
- Validation through an external Webservice.

Phone number. It allows users to participate in the promotion by identifying themselves with their mobile phone number. In this way, once the user enters their phone number, they will receive a SMS with a code, which they must enter in the promotion to verify their number and continue with the registration and participation process. Once sent, the code is valid for 3 hours, after this time the code expires and is no longer valid.
Note: The verification of the users' phone number works with the SMS package system, which the administrator must purchase so that the text messages with the code can be sent to the users. The Autologin system allows users from an external system to be sent to the Easypromos promotion, so that users participate directly in the promotion skipping the login and registration process of the promotion itself. All of these options are configurable. If this is the first time the user is logging in, they will then be redirected to the registration page. If this is not their first time, they will be logged in their user session and taken to the participation page.

Registration page
If it is the first time that the user participates, the user must complete the registration form and accept the Terms and Conditions and the Privacy policy of the promotion. Upon completing the entry form, the participant's session is automatically generated in order to participate. You can customise all the form fields and add as many as you want, with the information you need from participants.
The administrator can customise the form with different types of fields, and can customise the texts and add an image or logotype to support the promotion.

Changing the participation flow
As administrator, you will be able to configure in what order the promotion pages will be displayed and, therefore, how the user flow of participation will be.
To do this, you must access the Editor > Pages > Login & Registration section, where you will see the following option: “When do you want users to log in and register?". Indicate there when you want to request the user's registration. You can choose between the following options:
- Identified mode (Option selected by default).
- Visitor mode.
- Via Autologin API (Feature only available for Corporate accounts).
- Without registration (Anonymous mode).
Tip! To enable the anonymous mode, it is only necessary to disable altogether the "Login & Registration" menu by clicking the green button, which will prevent the Login and registration system from being applied in the promotion:
Security in the registration
You can apply the following security measures in the Login process:
- Restrict access by country. It is based on geolocation by country (IP)
- Restrict access by age. A confirmation pop-up will appear, where users will be requested to confirm their age to continue and participate.
- >Do not allow Login with temporary emails. By default, domains identified as temporary, such as mailinator, are not allowed.
- Restriction of access to specific email domains. You can indicate which domains will or will not be accepted, to restrict the registration to specific domains or prevent participation with other email domains. For example, you can indicate that only emails from your company domain can participate in the promotion.
- Blacklist user restriction. You can create and update a list of prohibited emails in your Easypromos account, so that no users from your blacklist will be able to register in your promotion(s).
3.3. Participation
The participation process consists of 2 pages:
- The page where the participation mechanic takes place. For example: the game page, or the page presenting the prize wheel.
- The requirements page which is optional and prior to the mechanics page. For example: a page to enter a valid code or upload a sales receipt to be able to participate in a Scratch and Win game.
Participation mechanics page: List of mechanics
On this page the user is presented with the mechanics of participation, depending on the type of promotion created. Currently the following participation mechanics are offered on the platform:

- Check in: The check-in feature corresponds to a direct participation mechanic. To make it more interactive, users click on a "CONTINUE" button, or see a page with a "Timeout". By clicking the button or by just waiting a few seconds, a participation is already registered for the user. This participation system is available for the following types of promotions:
General Participation Options
Once you have selected the participation mechanism of your promotion, in the Editor > General > Participation section, you will find the General options of the participation mechanism, for you to customise and edit.
To do this, click on the pencil icon to access the configuration options, then select the "Options" tab, where you will find all the configuration options for the participation mechanic:

Frequency of participation: configure here the number of times that users can participate in the stage of the promotion, as well as the frequency of participation, which can be:
- Daily
- Hourly
- Weekly
- Total
- “Participants can only win a single direct prize” feature: This option allows users who have already won 1 prize to be restricted from going back and participating again in the promotion.
Requirement page
Optionally, before the participation page, you can present a requirement page as a supplement to the user's participation, which is an additional action that users must perform before being able to participate. The available Requirements are: validating a code, uploading a purchase receipt, watching a video, scan a QR code or having previously completed other participation stages (Valid only in promotion with multiple stages of participation).
Specifically, the following types of requirements can be established:
- Validate a code: The user must enter a valid code to access the participation mechanism. In addition, the requirement can be complemented by the upload of an image, such as the purchase receipt.
- Watch a video: The user must watch a complete YouTube video in order to access the participation mechanism.
- Upload a receipt: The user must upload an image of a receipt of a purchase made in your establishment.
- Scan a QR code: The user must scan a specific QR code to access the participation stage. This requirement implies that the users must go physically where the QR code is printed/displayed to be able to participate.
- Complete other participation stages: In a Multi-stage promotion, this participation requirement allows a participation stage to be blocked if one or more previous stages have not been completed (completing a stage can simply mean having participated in it or having reached a minimum number of points).
- Additional fields: The user must fill out a registration form with the fields configured by the administrator in order to complete participation in the promotion.
- Spend virtual coins: To participate in the promotion, the user must spend X virtual coins. Example: In a Prize Wheel, the user must spend 10 virtual coins per spin. The administrator can configure the cost of participation in virtual coins. Learn more about how Virtual coins system works.
Multiple mechanics of participation under the same promotion
The platform allows organising promotions with multiple participation mechanics, where each mechanic consists of a new participation stage. These promotions allow the creation of a participating user session, so that participants can enter into various stages with different mechanics, and have the interaction with the promotion extended over time. To do this, the administrator can create a "Multi-stage" type promotion, which allows organising the following dynamics:
- A prediction game with multiple days of participation. For example, a sports championship, where each week the participating users must give their predictions for the coming games and they accumulate points for correct answers.
- A campaign with multiple games where users participate in a different game every day and accumulate points in a global Ranking.
- The traditional digital Advent Calendar in which each day a user opens a window, and finds a different content or mechanism of participation.

3.4. Final page or Thank you page
The user lands on the final page after completing the participation mechanism, where a “thank you very much” message is displayed, as well as the tools to share the promotion. On this page the user can also see the number of participations -if any- still available.
In the event that the user has won a prize, the details of the prize will also be seen on this final page.
4. Other pages - Overview
The other pages that make up the promotion and that may appear depending on the participation mechanism are described below.
4.1. Ranking
This page will show the Ranking of points among the participants of the game as a classification page to encourage competition and rivalry between players. The Ranking page can only be enabled in Games and only in Identified Mode (where users register first and can then play).
4.2. Winners and Prizes
This page allows you to present the prizes that will be awarded in the promotion, in order to publicly display the details of the prize(s). In this way, the name of the prize can be personalised, along with its description. In addition, if there are assigned winners, the name of the winner of the prize(s) may be publicly displayed, so this page can be published in order to officially announce the name of the winner(s) of the promotion prize(s). You will be able to edit this page from the Editor of the promotion > Pages > Winners section.
4.3. Promotion Expired
When a promotion expires, the "Expired Page" is enabled by default, so that the promotion link shows a blank page with an "expired promotion" informative message. The administrator will be able to edit the message and contents of this page from the Editor > Pages > Expired, as explained in the following tutorial.
4.4. Warnings and Restrictions pages
Additionally, depending on the characteristics of the campaign and the user participation logistic, the following warning or error pages may appear:
1. Restriction by country: If the promotion is limited to a specific country or list of countries, and a user accesses the promotion connected from an IP from a different country, they land on a warning page indicating that they do not have permission to access the promotion.
2. Restriction for having exceeded the limit and the frequency of participation from the same IP address. By default, promotions are configured with a security option that controls the number of times users can participate from the same device and IP address, as well as the frequency of participation. If these settings are exceeded, the user will see a warning page.
3. "No more participations left" page. In the event that the user has exhausted the number of available participations configured by the administrator, they will access a warning page.
4. "You can only win 1 prize" restriction page. When the promotion is set up so that users can only win 1 direct prize, if a user who has already won tries to participate in the promotion again, they will access a warning page.
5. "The promotion not yet public" page: Appears if the promotion has already been activated and a user accesses the promotion link while the publication start date is in the future.
6. "Maximum number of entries reached" page: Appears if the promotion has exceeded the maximum number of configured users.
5. Managing users participations
From the "Users" section you can consult the details of the participations made by each user. Specifically, for each registered user, the administrator will be able to click on the eye icon, which will open the details of the date and time in which each participation has been made, the points obtained in each game, as well as the total score. If the user received a prize, it will also be reflected in this section.
